You are flexible, adaptable to quickly changing priorities and thrive in a startup environment. You have HR operations experience in a small or startup company. The HR Operations Specialist will assist with processing payroll and stock administration for the US and Canada. You will also assist with benefits administration, onboarding and employee support. This position is based on-site in Austin, TX and will report directly to the Senior HR Operations Manager.
WHAT YOU’LL DO
Key Responsibilities:
Payroll Administration:
- Assist with processing of payroll ensuring accuracy and compliance with federal, state, and local laws.
- Resolve payroll discrepancies and answer employee payroll queries.
- Collaborate with the finance department to ensure proper payroll accounting.
Equity Administration:
- Assist with administering the company’s equity programs, including stock options, RSUs, and ESPPs.
- Ensure accurate record-keeping and reporting of all equity transactions.
- Coordinate with external vendors and internal stakeholders to ensure the accuracy of equity plan operations and compliance.
Benefits Administration:
- Administer employee benefits programs including health insurance, retirement plans, and other voluntary benefits.
- Assist with annual 401k audit
- Conduct benefits orientations and answer employee questions regarding benefits.
- Work with benefits providers to resolve issues and ensure effective delivery of benefits.
Offer Letters and Onboarding:
- Prepare and issue offer letters to new hires.
- Coordinate the onboarding process to ensure a smooth transition for new employees.
- Maintain accurate and up-to-date employee records.
Compliance and Reporting:
- Ensure compliance with all applicable labor laws and regulations.
- Assist with preparation and submission of required reports, such as EEO-1, VETS-4212, and other regulatory filings.
- Maintain confidentiality and ensure the security of employee data.
Process Improvement:
- Assist with developing and improving HR processes to increase efficiency and effectiveness.
- Develop and update HR policies and procedures.
Employee Support:
- Serve as a point of contact for employees regarding HR-related issues and concerns.
- Provide guidance and support to managers and employees on HR policies and procedures.
CANDIDATE PROFILE
- Bachelor’s degree in HR, accounting, Finance, a related field, or equivalent years of experience.
- At minimum two years of payroll processing experience.
- A minimum of three years of human resource management experience required.
- Strong attention to detail.
- Existing knowledge of various state and international payroll laws.
- Experience working in a HRIS/Payroll system.
- Knowledge of benefits administration.
- Knowledge of equity program administration.
- Excellent attention to detail, interpersonal, and communication skills.
- Flexibility and adaptability.
- Lead by example and create, participate in, and support all internal culture building activities (corporate events, wellness activities, etc.).
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Knowledge of employment-related laws and regulations.
- Strong analytical skills, problem-solving skills, and interpret and communicate data.
- Ability to prioritize tasks.
- Ability to act with integrity, professionalism, and confidentiality.
- Proficient with Microsoft Office Suite and Excel.
- Proficiency with or the ability to quickly learn the organization’s HRIS and Stock Based Compensation systems.
- Strong analytical and problem-solving skills, with the ability to analyze complex HR data and develop effective solutions to HR-related problems.
- Must be comfortable working on-site full time.
- PHR, SPHR, SHRM-CP or SHRM-SCP desired, but not required.
