Our client, a large entertainment organization, is looking for a Part Time Philanthropy Operations Representative to join their team for a 6 month contract to cover at LOA. This role will work part time 16 hours per week onsite.
Responsibilities:
- Supporting the philanthropy operations team by assisting with non-profit vetting and due diligence for matching gifts and grants programs, and the handling of employee and non-profit inquiries for employee giving programs.
- Due Diligence and Vetting: Matching Gifts and Grants program non-profit nominations (40-100 requests weekly)
- Pull nomination reports from CyberGrants and cross-reference with internal lists to ensure previously rejected non-profits are not approved for granting programs.
- Review initial vetting provided by CyberGrants in nomination records.
- Update nomination records if incorrect and conduct vetting review of organization to ensure organization aligns with program guidelines.
- Update nomination record with vetting notes and provide an initial recommendation of approved or declined.
- Work with cross-functional teams when vetting questions arise
- Shared Inbox for Employee Giving: Review all emails that are coming into our shared inboxes
- Respond to all inquiries from employees and non-profits regarding matching gift program
- Responsible for tracking inquiries to completion, which includes submitting CyberGrants survey requests and keeping employees/non-profits updated on status of their requests.
- Respond to all program inquiries and flag emails that need to be escalated to program manager or ISTS (Vendor)
- Executive Matching Gifts List of pending donations:
- Review provided monthly report and work with non-profits to update their contact information in CyberGrants database and assist with any Frontdoor related questions, including submitting internal CyberGrants survey requests to assist with issues.
- NPO Verification Step: Send out reminder notifications to organizations that have not accepted employee giving programs terms and conditions
- Pull reports for all nomination requests pending non-profit registration and verification.
- Create mail merge reports and send emails to non-profits
- Track all responses to completion
- Watch list Scan Clearing
- Review CyberGrants Watch list scans for organizations and grant requests and conduct research to provide an initial recommendation to clear the flags
Qualifications:
- Bachelor's degree in Business or Communication
- Minimum one year of experience in prior customer service positions
- Prior experience in Philanthropy preferred but not required
- Proficient in Cyber Grants or similar platform preferred but not required
- Proficient in Microsoft Office (Word, Outlook, Excel)
- Strong organizational skills
- Excellent written, verbal and interpersonal communication skills as this position will interact with employees at all levels
