Embark Executive Office Coordinator you will be supported by an experienced Executive Director and Administrative Team that are all focused on the mission to facilitate lasting positive change for young people and their families at the OP, IOP and PHP levels of care. Come grow with us!
Responsibilities
- The Executive Assistant report directly to the Executive Director and is responsible for supervision of the administrative functions for programming.
- Handling incoming calls, emails, and other correspondence, assisting in planning and facilitating tours and filtering and prioritizing.
- Planning, organizing, and coordinating meetings, conferences, and events, including sending invitations, preparing agendas, arranging logistics, and taking minutes.
- Making travel arrangements, including booking flights, accommodations, transportation, and managing travel itineraries and expenses.
- Assisting with the preparation and formatting of documents, presentations, reports, and other materials, and maintaining organized filing systems.
- Gathering and compiling information, conducting research, and preparing briefing materials and background documents for meetings and presentations.
- Liaising and maintaining effective communication with internal and external stakeholders, including clients, families, and other executives.
- Facilitating in organizing program events, attending meetings as necessary and various other administrative tasks.
- Handling sensitive and confidential information with utmost confidentiality and discretion.
- Providing support for special projects, initiatives, and research assignments as assigned by the executive.
- Building and maintaining positive relationships with colleagues, clients, and families on behalf of the executive.
- Overseeing general office operations, including supplies management, equipment maintenance, and coordinating administrative support.
- Responsible for supporting Executive Director in maintaining all required licenses, permits and accreditation relationships .
Qualifications
- A bachelor’s degree in a related field of study is required. Minimum of 3 year’s management experience in the Administrative or office environment, or comparable experience.
- Excellent leadership, communication, and problem-solving skills.
- Must be able to pass a Background Criminal Investigation.
- Must hold a valid Driver's License with clean driving record.
- Executive Assistant is responsible for Admin team support during times of Incident Response needs.
