Billing Coordinator

We are a highly ranked National Law Firm with over 400 attorneys and 25 offices nationwide. We are currently seeking a Billing Coordinator. The Billing Coordinator holds the responsibility of producing client invoices and collaborates closely with various attorneys and staff members to guarantee that invoices adhere to the prescribed standards regarding content, punctuality, and layout. Apart from the main duties outlined below, the role also entails handling miscellaneous tasks within the Finance Department
Primary Responsibilities:
- Maintain a comprehensive understanding of client terms, discount arrangements, lawyer and client preferences while overseeing the entire billing process for designated billing responsible attorneys.
- Generate firm-standard billing proformas monthly for review by billing responsible attorneys.
- Review and finalize invoices according to instructions provided by the billing responsible attorneys and client guidelines; update billing instructions in Elite system as necessary.
- Transmit electronic invoices following e-billing guidelines; monitor invoice submissions for acceptance, handle rejections, and add timekeepers for rate approvals.
- Address inquiries from lawyers, clients, and staff regarding client billings promptly.
- Follow up with billing responsible attorneys to ensure timely bill processing.
- Conduct research on proformas or billing-related inquiries.
- Prepare monthly statements for outstanding invoices and distribute them to clients.
Computer Skills:
- Proficiency in 3E/Elite Enterprise System and e-Billing Hub is essential.
- Familiarity with Microsoft Word, Excel, and Outlook is required.
Other Skills and Abilities:
- Strong analytical skills.
- Extensive experience with various e-billing vendors, such as Serengeti, Counsel Link, Chubb, Tymetrix, and LEDES file knowledge.
- Demonstrated self-motivation and ownership of assigned tasks.
- Ability to interact effectively with legal and administrative personnel.
- Regular communication with the Client Accounting Manager regarding billing issues.
- Exceptional attention to detail and organizational skills.
- Capacity to prioritize and manage multiple tasks simultaneously in a fast-paced environment.
- Proficiency in working both independently and collaboratively within a team setting.
Education and/or Experience:
- At least 4 years of experience in a similar role.
- A Bachelor’s degree is preferred but not mandatory.
- Previous experience in a law firm or professional services environment is advantageous.
