THE ROLE
Xerxes Global seeks an experienced, proactive Office Manager to ensure the smooth operation of our office on a prime location in Downtown Chicago.
The ideal candidate will have experience in handling a diverse range of responsibilities including administrative duties, IT coordination, and executive support. We are looking for a dedicated professional who can effectively manage the day-to-day operations of the office, anticipate needs, and contribute to a positive, efficient work environment for our team.
This role requires a skill set that includes a good comfort level with technology including computer skills with MS Office Suite and other PC applications and supporting the office with basic IT tasks. This person should have excellent verbal and written communication skills, a passion for customer service, and the ability to problem-solve and excel in a self-directed environment. This position is a key supporting role with a high-level of responsibility and impact to drive the success and growth of the company.
Responsibilities
Serve as the Point Person for office manager duties:
- Maintain the office condition and arrange repairs, as necessary.
- Welcome guests and provide support to visitors.
- Purchase office supplies and manage inventory.
- Purchase office snacks and beverages and manage inventory. Order meals and coordinate office events.
- Responsible for any outgoing/ incoming packages and mail.
- Operate and troubleshoot office machines, such as photocopiers, scanners, printers, and personal computers.
- Manage shared scheduling for conference rooms.
- Partner with HR and Management to organize office operations and procedures.
- Manage contract and price negotiations with office vendors and service providers.
- Assist in organizing company wide and office specific activities including technical and content support for quarterly town hall and leadership meetings.
- Liaise with facility management.
- Maintain calendars for any leadership that requests help.
- Support Onboarding/ Offboarding of new employees.
- Hardware Support
- Coordinate inventory, repairs, and general troubleshooting. He'll probably ask you a lot of questions.
- Coordinating the upcoming office move.
- Responsible for coordinating with a moving company on scheduling, preparing inventory and overseeing the actual move.
- Coordinate shuttle service between the office and Union Station.
