In this role, you will strategically and creatively manage multiple, small projects with a diverse team of site managers, as required so that projects are completed on time, on budget and with high quality workmanship. Responsibilities:
· Meet Associate PM KPI’s, responsibilities, and performance objectives of increasing profitability and customer satisfaction, as outlined on the APM Scorecard.
· Obtain and distribute signed construction drawing/specs to site supervisors and trades, issue contracts /POs to sub trades
• Manage all project start-up procedures, including, but not limited to, coordinating with the project design team to obtain IFC drawings & specifications. Manage all subcontractor start-up documentation, i.e. Form 1000, WSIB Certificate, Certificate of Insurance (COI), submittals (shop drawings, samples, cut sheets, etc.), and track on the project document logs. Manage all subcontractor documentation, i.e. RFI’s, change documents, pricing, as well as project closeout and permit closure. Store and manage all project documentation on Jancon’s SharePoint cloud site for ease of internal sharing with other Jancon Groups, i.e. Office Administration, Accounting, and Estimating. Manage project documentation such as subcontractor contracts, and CCN costing in Jancon’s ERP System Maestro.
• Collaborate with the project Site Manager and Safety Rep on all related project items.
• Obtain the project Notice of Project and Permit documents, provide copies for the Site Manager, and store on SharePoint.
• Obtain mandatory sign-off of Jancon’s Health & Safety Policy by all subcontractors prior to issuing contracts and prior to subcontractors mobilizing and commencing work. Store signed copies on SharePoint for internal recordkeeping and use by the Safety Supervisor.
• Prepare all documents required to be posted on the Jancon Site Safety Boards and collaborate these with the Safety Supervisor.
• Assist and collaborate with Senior Project Managers on all project documentation management for other projects.
• Manage all project documentation in accordance with the project construction schedule to meet and maintain all timelines.
• Create project contact lists of all contacts in the Project Management Module of Maestro, Jancon’s ERP System.
• Review all project documentation, i.e. CCN costing, subcontractor submittals with Senior Project Managers and/or the Director of Project Delivery.
• Prepare and maintain all project Document Logs.
• Attend all project construction meetings and scribe meeting minutes as required.
• Prepare and distribute all Meeting Minutes, including all supplemental documents, i.e. Document Logs, and Construction Schedule to the project team in a timely manner, within 24-48 hours after all meetings.
• Update, input, and create any new supplier, subcontractor, or project contact Maestro.
• Collaborate and assist Site Managers with the scheduling and follow-up of onsite municipality inspections, and design team site reviews and reporting.
• Always maintain positive and professional relationships with all business associates, vendors, subcontractors, design partners and clients of Jancon and always communicate clearly, professionally and in a timely manner.
• Follow and conduct yourself in accordance with Jancon’s Core Values and always deliver exceptional client service.
• Always be value added and maintain a flexible and positive mindset towards assisting others.
• Plan, prioritize and organize work effectively, and efficiently to consistently deliver assigned work tasks and project deliverables in a timely manner.
• Take minutes at internal company meetings as required.
• Collaborate with the Estimating Group in selecting the optimal subcontractor team for projects.
• Other miscellaneous project related work tasks as assigned.
