We promote the destination domestically and around the world to potential leisure, meetings/business, and sports travelers. Our team develops and implements sales, marketing, and communications programs that encourage more than 9 million overnight guests annually.
Experience Kissimmee is currently seeking an Advertising Sales Coordinator. This role assists the Industry Partner Relations Manager and is responsible for tracking the advertising sales process, monitoring ad sales reporting, engaging industry partners, and recruiting new businesses to join Experience Kissimmee.
This Advertising Sales Coordinator will telecommute and work some days at Experience Kissimmee’s office in Celebration, some days from home and some days from various locations throughout the Central Florida destination. Therefore, candidates are expected to live in Central Florida. Possession of a valid Florida driver’s license and a clean 3-year motor vehicle report is required.
Below are some major responsibilities of the position:
· Generateall advertising agreements and send to the partner for signature.
· After approval from the Sr. Director of Industry Partner Relations, submit all advertising sales agreements into project management system.
· Notify partner when ads go live with screenshots of the advertisement.
· Collect materials for advertisements and submit into project management system to the appropriate internal team member.
· Review and send monthly partner advertising reporting.
· Create advertising sales invoices in the database, send to partner, and track payment through ad sales tracker.
· Track outstanding ad sales payments and notify finance and Sr. Director of Industry Partner Relations of any 30,60,90,120 past due invoices.
· In conclusion of ad flight, notify partner of completed ad and loop in Industry Partner Relations Manager for a potential renewal.
· Responds to regularly occurring requests for information from partners and/or other departments and note activity in the Customer Relations Management (CRM) system.
· Responsible for in-person/virtual meeting set up with advertising partners. This includes reserving meeting space, reserving company Zoom links, ordering food and beverage, preparing meeting materials, taking minutes, as well as tearing down following the meetings. Examples include and but limited to virtual ad sales meetings with partners and Kissimmee on-the-go meetings and in-person advertising meetings in the office.
· Create advertising and prospect packets as needed.
· Assist with prospect inquiries via phone call including partner benefit review for these segments (Meeting Services, Transportation, & Visitor Services). Provide effective communication between partners to foster relationships.
· When appropriate and approved by the Sr. Director of Industry Partner Relations, attend local industry events to grow an understanding of the industry and assist with the department’s maintenance of its relationships and engagement with industry partners.
· Establishes, develops, maintains, and updates electronic filing system for all assigned areas.
· Coordinate for all areas assigned, mailing and shipping of materials.
· Assist internal Event Management Team by working registration for local industry functions hosted by Experience Kissimmee.
· Perform duties as assigned/necessary which are related or logical in assignment to the position.
Required Education & Experience:
· Minimum associate's degree and two years of related experience (of the 2 years one year minimum of database experience, specifically data entry experience and an understanding of data fields.). Will substitute experience for education.
· Proficiency with MS Office suite especially Outlook, Excel and PPT.
· Daily experience working within a database (CRM).
· Requires strong communication skills, both verbal and written, organizational skills, both analytical and problem solving, and the ability to work with confidential documents.
· Ability to manage multiple tasks and achieve deadlines under pressure.
