The Opportunity
We're seeking a dynamic Executive Assistant to provide vital support to our consultants. In this role, you will manage a variety of tasks and projects, ensuring smooth operations and effective client engagements. You'll be responsible for coordinating and overseeing administrative tasks, managing project timelines, and handling potential issues with proactive solutions.
What You'll Do
Administrative Support:
- Schedule and organize meetings, interviews, and video conferences for candidates, clients, and internal teams.
- Manage complex calendars, prioritizing appointments as needed.
- Plan and coordinate detailed travel arrangements and itineraries for consultants and candidates.
- Process expense reimbursements and prepare confidential correspondence.
- Provide additional administrative support, including answering calls, receiving visitors, and planning events.
- Maintain an accurate and up-to-date global database, including client and candidate information.
- Perform office and reception duties as needed and assist other Executive Assistants with overflow tasks.
Search Coordination
- Act as the main point of contact for clients and candidates, assisting with daily search activities and logistics.
- Facilitate smooth communication between consultants and stakeholders, both internal and external.
- Proactively address client needs and manage deliverables within set timeframes.
- Assist with billing, invoicing, and receivables.
- Build positive relationships with high-level executive candidates involved in confidential projects.
Business Development
- Partner with consultants to support business development efforts.
- Assist in creating and finalizing marketing presentations and materials for pitches and events.
Requirements
- Bachelor's degree preferred.
- Minimum of 5 years of administrative experience, ideally in a professional services setting.
- Strong organizational and multitasking skills with a keen attention to detail.
- Resourceful problem solver who thrives in dynamic environments and under pressure.
- Self-motivated with excellent communication skills, both written and verbal.
- Collaborative team player with a commitment to fostering an inclusive workplace culture.
