Job Summary
Serves as Administrative Assistant to the Executive Director for Little Elm EDC and must be able to communicate effectively and courteously in person, in writing, through e-mail and over the telephone to refer or respond to inquiries appropriately with the public and other town employees. In addition, provides assistance in the processing of development proposals as well as assist with event planning. Must be a highly organized, self-starting individual, capable of multitasking with a commitment to an extremely high level of service to our customers and staff. The candidate must be highly motivated and strive for success by demonstrating Little Elm’s Core Values of Integrity, Customer Service, Efficiency, and Innovation.
Education/Training/Experience
- High School diploma or equivalent;
- College degree from accredited university, trade school, or related technical institute preferred;
- Four (4) years related office and/or project lead experience or a combination.
LICENSES OR CERTIFICATES
- Valid Texas Operator’s Driver’s License
Language Skills
- Ability to read, write, and speak English fluently.
- Ability to respond to common inquiries or complaints from customers, regulatory agencies or authorities, or members of the local business community.
- Good verbal and written communication skills are essential.

- Needs to have comprehensive knowledge of secretarial principles and practices.
- Judgment is required both in interpreting established policies, goals, and objectives, and in applying concepts, plans, and strategies that may deviate from traditional methods and practices.
- Ability to perform tasks under pressure with short deadlines.
- Use tact and diplomacy with public, and maintain effective working relationships with co-workers.
- Must possess strong organizational skills and be entrepreneurial energetic, and imaginative.
- Skilled in the use of a variety of machines, including, but not limited to, personal computers, telephone, calculators, facsimile machine and copiers.

Essential Job Functions
- Performs executive administrative assistant functions.
- Prioritize heavy work load effectively; relay instruction, information and decisions from the Economic Development Corporation Executive Director’s office as directed.
- Excellent interpersonal, leadership and communications skills are required, including creative problem-solving abilities when called for.
- Make effective decisions without constant supervision.
- Assist the public, by telephone or in person, with questions requiring knowledge of policies and procedures.
- Receive, respond to and resolve difficult and sensitive citizen inquires and complaints.
- Perform research, compile, and analyze data for special projects and reports as directed by the Economic Development
- Corporation Executive Director along with interacting effectively with town department heads.
- Type and proofread a wide variety of reports, letters, memos and statistical charts.
- Compose general correspondence related to responsibilities assigned.
- Itemize invoices for expenditures, type forms, charts, statements, and various legal documents as required.
- Order and maintain office supplies, contact suppliers as needed. Maintain related records.
- Assist with with sponsored programs, seminars, workshops, travel arrangements, special projects and/or events, and event planning and implementation.
- Perform special assignments as requested by the Economic Development Corporation Executive Director and other related duties as assigned.
- Initiate and maintain a variety of files and records for information related to the Economic Development Corporation Executive Director or other departments assigned.
- Maintain a professional appearance.
- Ability to make “cold calls” and obtain strong negotiation skills.
- Follow-up with clients, brokers, consultants, and allies as necessary to maintain effective communication and progress on commercial projects.
