About the Job:
As a Meeting Planner, you will masterfully coordinate logistics for patient ambassador programs, seamlessly executing in-person, virtual, and hybrid events. With exceptional customer service skills, you will collaborate with internal teams, healthcare professionals, and other stakeholders to deliver flawless program experiences. Your attention to detail and communication expertise will shine as you manage vendors, budgets, and administrative tasks, ensuring timely and cost-effective delivery of projects.
A Day in the Life:
- Event Management: Oversees all aspects of patient ambassador events, ensuring compliance with standard procedures and client requirements.
- Speaker Management: Recruits, contracts, and confirms ambassador participation, managing travel and logistics as needed.
- Venue Logistics: Researches, contracts, and coordinates venues, ensuring compliance.
- Vendor Management: Liaises with approved third-party partners for audio-visual, travel, and ground services, ensuring timely setup, confirmation, and payment.
- Financial Management: Tracks costs, processes speaker honoraria and expenses, and maintains accurate records for Open Payments reporting.
- Program Coordination: Collaborates with internal teams and clients to ensure successful program execution, providing regular reports and maintaining program files.
What you will need:
- Education & Certifications: Bachelor's degree required.
- Experience: 3+ years of direct meeting planning experience; 3-5 years of pharmaceutical meetings and events experience preferred.
- Technical Skills: Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook), Zoom Meetings, Microsoft Teams, and Workfront; familiarity with Cvent and basic Excel functions.
- Business Acumen: Understanding of meeting planning principles, budget management, and compliance regulations in the pharmaceutical industry.
- Collaboration & Leadership: Ability to work independently and as part of a team, with a focus on achieving results and taking ownership of actions and decisions.

Salary
$55,000 - $80,000 annually.
