Position Overview:
We are seeking a Document Control Specialist in Central Texas, preferably with experience in the construction, legal, or capital improvement sectors. As a Document Control Specialist, you will represent FLAG by being responsible, punctual, and motivated to exceed expectations. You must be highly detail-oriented, organized, and possess excellent analytical, problem-solving, and communication skills.
Responsibilities:
Document Management and Organization:
- Maintain, organize, and track all project-related documents, including contracts, drawings, permits, and reports.
- Ensure that all project documents are up to date, properly formatted, and stored in appropriate physical and digital locations.
- Implement and maintain a document control system for efficient retrieval and version control.
Compliance and Quality Control:
- Ensure all documentation adheres to FLAG’s internal policies, legal standards, and client requirements.
- Perform regular audits to ensure accuracy, completeness, and consistency.
Project Coordination Support:
- Collaborate with project managers, engineers, and team members to ensure timely creation, review, and approval of necessary documents.
- Track document approvals and promptly distribute updates to stakeholders.
Data Entry and Management:
- Input, manage, and update document-related data in project management software or databases.
- Track key metrics such as document submission deadlines, approvals, and revisions.
Vendor and Stakeholder Communication:
- Act as the main point of contact for external vendors, contractors, and clients regarding document submission and management.
- Ensure external stakeholders receive the correct, updated versions of documents.
Document Archiving and Retrieval:
- Manage the archiving process for completed project documents, ensuring they are securely stored for future reference.
- Implement document retention schedules and ensure compliance with legal and contractual obligations.
Training and Support:
- Train staff on document control procedures and tools.
- Provide support for document-related questions or issues.
Security and Confidentiality:
- Ensure the security and confidentiality of sensitive project information, especially for municipal or school infrastructure projects.
- Implement access control measures to prevent unauthorized access to sensitive documents.
Qualifications:
Required Experience:
- Bachelor’s degree in a business-related field, Information Management, Engineering, or a related discipline.
- A minimum of 3 years of experience in document control within the construction or engineering industry.
- Proficiency in document management software and the Microsoft Office Suite.
- Strong understanding of project management processes and documentation requirements.
- Excellent organizational skills, with the ability to manage multiple tasks and projects simultaneously.
- Strong communication skills, both written and verbal, with the ability to interact effectively with staff at all levels and external stakeholders.
- Detail-oriented with a commitment to accuracy and quality.
Skills and Abilities:
- Effective interpersonal and communication skills.
- Legally authorized to work in the United States on a full-time basis without restrictions.
