Job Title: Bookkeeper/ Assistant Office Manager
Location: Concord, Ca
Hours: Full-time Monday- Thursday 6:30am-3:30pm and Friday 6:30am-12:30pm.
Compensation Range: $34.00- $38.00/hour
We are seeking a detail-oriented Payroll and Accounts Payable Specialist to join our team. This position is responsible for managing payroll and ensuring the accurate and timely payment of all employees, as well as handling accounts payable and receivable duties. The ideal candidate will be highly organized, have strong problem-solving skills, and demonstrate a high level of accuracy in their work.
What You Will Be Doing
- Review and verify time entries in Time Tracking Software for accuracy
- Address errors with appropriate personnel to prevent future discrepancies
- Run weekly employee reports and enter time into QuickBooks payroll system
- Set up new hires and manage terminated employees in QuickBooks
- Enter employee benefits and coordinate vacation and sick days
- Maintain payroll files and archives
Accounts Payable
- Collect and track packing slips and purchase orders (POs)
- Reconcile POs with bills in ShopPAK and export to QuickBooks
- Enter non-PO bills into QuickBooks and ensure timely payment of all bills
- Reconcile and pay credit card statements monthly and track use taxes
- Maintain strong vendor relationships and organize A/P files
Accounts Receivable
- Invoice clients per contract billing schedule and process invoices in ShopPAK, exporting to QuickBooks
- Follow up on past due payments by creating and sending statements
- Manage waivers and maintain A/R files and archives
What You Bring
- Experience with QuickBooks payroll and accounting systems
- Strong knowledge of time tracking and payroll processes
- Excellent organizational and communication skills
- Detail-oriented with a focus on accuracy and problem-solving
- Ability to manage multiple tasks and meet deadlines
