Job Summary
Based out of the WFS Las Colinas Headquarters location, the Office Administrator will play a key role in ensuring efficient operation of our corporate office. The selected candidate will provide reception coverage on the floor including greeting visitors, validating parking and ensuring a welcoming and professional environment to all visitors and employees of WFS. This is a Monday-Friday 8am-5pm role with potential to have some hybrid work arrangements on occasional Friday's depending on the needs of the office.
Responsibilities
- Plan and execute meeting set up, events and catering activities for the corporate office.
- Monitor and manage office supplies, ensuring inventory levels are maintained and restocked as needed.
- Prepare and stock refreshments daily. Provide snacks, beverages, and meals as needed for office staff and visitors.
- Assist with addressing facilities-related issues and tasks, ensuring a well-functioning and comfortable office environment.
- Receive and route all deliveries to the appropriate personnel.
- Handle daily mail by receiving, sorting, and preparing internal mail for distribution.
- Serve a liaison with building management and oversee office maintenance and repair.
- Maintain meeting rooms and ensure they are ready for events/meetings.

- Coordinate and schedule appointments, meetings, and travel arrangements for visitors as needed.
- Maintain confidentiality and handle sensitive information with discretion.
- Assist in planning and executing special projects, events, and initiatives.
- Reports to work on a regular and timely basis.
Minimum Requirements
- 5+ Years Office Management and Event Planning Experience
- Exceptional customer service skills and positive attitude
- Ability to demonstrate judgment, tact, diplomacy, and cooperation when dealing with people at all levels, internal and external of the business.
- Proficient in computer software, including MS Office (Outlook, MS Word, Excel and PowerPoint).
- Ability to communicate in the English Language in a clear and concise manner, both orally and in writing
- Highly organized and planful with time management
- Able to effectively handle multiple priorities and work independently in a fast growth organization
- Must display reliable and punctual in attendance
- High School Diploma or Equivalent

- Remain in a stationary position 50% of the time.
- Occasionally move about inside the office to access file cabinets, office machinery, etc.
- Constantly operates a computer and other office productivity machinery such as a calculator, copy machine and computer printer.
