Experience Kissimmee is the tourism authority for the Kissimmee destination and Osceola County. We promote the destination domestically and around the world to potential leisure, meetings/business, and sports travelers. Our team develops and implements sales, marketing, and communications programs that encourage more than 9 million overnight guests annually.
Experience Kissimmee is currently seeking a Destination Stewardship Coordinator. This role provides administrative support to the Chief of Destination Stewardship and provides departmental support to the Destination Stewardship Team. This position assists with departmental programs focused on the organization’s established Destination Values.
This Destination Stewardship Coordinator will telecommute and work some days at Experience Kissimmee’s office in Celebration, some days from home and some days from various locations throughout the Central Florida destination. Therefore, candidates are expected to live in Central Florida. Possession of a valid Florida driver’s license and a clean 3-year motor vehicle report is required.
Below are some major responsibilities of the position:
· Provide administrative support to the Chief of Destination Stewardship. This includes calendar management for the Chief of Destination Stewardship, coordinating meetings with internal team members or external contacts such as community leaders, dignitaries, industry partners and other destination marketing organizations.
· Create travel authorization forms, submit for approval and make travel arrangements, including air, rental car, hotel, ground transportation and registration for conferences, etc for the Chief of Destination Stewardship and department directors.
· Collect and/or scan and upload receipts for the corporate credit card expenses for the Chief of Destination Stewardship, accurately codes with account codes from the departmental budget. Prepare expense reports for Chief of Destination Stewardship and route for approval and payment.
· Assist in preparing presentations for Board of Directors and Tourist Development Council presentations.
· Process invoices, CEO approval forms and check requests by accurately coding, routing for payment in a timely manner. This includes departmental tracking and budget tracking of expenses.
· Responsible for in-person/virtual meeting set up. This includes reserving meeting space, reserving company Zoom links, ordering food and beverage, preparing meeting materials, including PowerPoint presentations, taking minutes, as well as tearing down following the meeting.
· Acts as the departmental liaison for promotional items and inventory needs. This includes researching amenity ideas for the department, creating job orders through project management tool for production, picking up items at the warehouse, updating the database list for inventory control, as well as shipping of these materials for tradeshows, media missions and media outreach.
· Actively participate in and coordinate actions items from Experience Kissimmee’s internal Sustainability Task Force.
· Coordinate efforts, as needed, among Experience Kissimmee’s internal IDEAS (inclusion, diversity, equity, accessibility, sustainability) working groups to maintain marketing and sales toolkits addressing these markets.
· Assist tracking/recording key performance indicators (KPIs) and coordinate measurement, data collection, and application submission for the completion of environmental impact and sustainability assessments
· Assist with monitoring any upcoming legislative, regulatory, or other action related to sustainability, accessibility, diversity, equity, inclusion, and other stewardship issues as needed
· Assist, as needed, with destination-wide measurement and assessment projects related to sustainability, accessibility, and other guiding principles
· Assist community engagement efforts by processing reports, documentation verification, gathering and preparing data for reports and entering data into the database and project management system for the Tourism Enhancement Grants Program
· Coordinate, collect, review for compliance and process local event grant applications for review by management and Tourist Development Council. Follow up with grant recipients to ensure proper documentation and reports are received in accordance with established guidelines and ensure that the grants are paid per Experience Kissimmee’s procedures
· Assist with requests for donations and community support. Review requests, route for guidance if approved coordinate organization’s participation, if denied, respond to requester.
· Assist with the Contractual Obligations required by the organization’s contract with Osceola County. This includes organizing and coordinating contracts, renewals, reporting and processing of invoices as well as scheduling meetings as needed.
· Track Experience Kissimmee Staff Board positions in community.
· Assist with speaking engagement fulfillment by monitoring, responding to, and coordinating scheduling of Speakers Bureau requests.
· Track speaking that the Experience Kissimmee Staff does in the community.
· Track Experience Kissimmee’s Organizational Memberships
· Trace community involvement in database.
· Perform duties as assigned/necessary which are related or logical in assignment to the position.
Required Education & Experience:
· Minimum associate degree and two years of administrative support experience. Will substitute experience for education.
· Advanced proficiency in MS Office, Word, Excel, PowerPoint, and Outlook. Experience with Adobe is required.
· Experience working within a database is preferred. This includes data entry as well as reporting.
· Excellent project management and organizational skills.
· Must be a self-starter with the ability to work under strict time constraints. Good time management skills.
· Excellent oral and written communication skills.
· Must have strong customer service skills.
