Description
We are seeking a highly organized and detail-oriented professional to provide comprehensive support to our Chief Executive Officer. In this crucial role, you will significantly contribute to the smooth operation of the company by managing various administrative tasks and serving as a key liaison between the CEO and other departments, vendors, and stakeholders.
Key Responsibilities
- Calendar Management: Efficiently manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Communication: Act as the primary point of contact for the CEO, screening calls, emails, and visitors with professionalism and discretion.
- Research: Conduct research on industry trends, competitors, potential partners, and funding opportunities.
- Marketing Support: Assist with creating marketing content by writing articles and editing photos.
- Vendor Relations: Communicate with vendors, obtain quotes, and manage ongoing relationships.
- Documentation: Maintain accurate records and documentation, including managing lab permits and scanned documents.
- HR Support: Assist with HR tasks, including sending company-wide emails, maintaining employee personnel records, and payroll assistance.
- Expense Reporting: Prepare and manage expense and reimbursement reports for the CEO.
- Technical Support: Provide technical support to the CEO, managing office keys and supplies.
- Mail Management: Handle mail collection and distribution as needed.
- Document Preparation: Prepare and edit correspondence, reports, presentations, and other important documents.
- Database Management: Maintain internal databases and generate regular reports for management.
- Meeting Coordination: Organize and facilitate meetings by preparing agendas, taking minutes, and following up on action items.
- Office Operations: Oversee office procedures to ensure efficient operations, including managing supplies and equipment.
- Special Projects: Assist with special projects and initiatives as directed by the CEO.
- Executive Support: Conduct research and provide insights to support executive decision-making.
- Routine Tasks: Perform routine office tasks such as filing, copying, and scanning documents.
- ERP System: Support the company's ERP system with data entry, reporting, and troubleshooting.
Qualifications And Skills
- Bachelor's degree or equivalent experience.
- 5+ years of experience as a Senior Executive Assistant or in a similar role.
- Exceptional organizational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite and a quick learner of new software.
- Familiarity with the tech and semiconductor industries is a plus.
- Knowledge of ERP systems is advantageous.
- Ability to maintain confidentiality and exercise discretion.
- Proactive problem-solving skills and a positive attitude.
- Flexibility to take on a variety of tasks and adapt to changing priorities.
