POSITION SUMMARY:
The Records Analyst is responsible for providing and maintaining processes that support the department’s objectives to effectively manage the firm’s electronic and physicalrecordstosupportthefirm’sRecordsManagementstrategy.Thispositionisalso responsibleforgatheringandprocessinginformation,organizing,andprioritizingwork,as well as effective use of firm’s records system. High level of interaction with internal and external clients.
DUTIESAND RESPONSIBILITIES:
- Create/Maintain/Edit client files in accordance with the Records Management and Retention policy of the firm in department data base.
- Assist in uploading documents to W&S worksites.
- Process retention policy and procedures in accordance with the Records Management and Retention policy including maintenance of adequate documentation to support the records policy.
- Review files (hardcopy and electronic) once the matter has entered the disposition phase in accordance with the Records policy for possible return to the client or possible destruction.
- Provide guidance and assistance to practice groups and administrative departments to ensure compliance as it relates to the firm’s records retention program.
- Work with users/departments on special research and retrieval projects to ensure that all information needs are met.
- Identify issues, regarding file categorization and access in relation to the client file.
- Conduct related internet research and database searches as required by the Retention Review process.
- Retrieve and reference on-site and/or off-site materials for users including telephone/email requests.
- Maintain accurate documentation of interactions both internally and externally regarding requests received.
- Process physical records in conjunction with on-boarding of new lateral attorneys or transfer of matters to the firm.
- Work to reduce off-site storage inventory(s) and related costs while implementing the firm’s strategy for retention and destruction of both physical and electronic records.
- Routinely reviews onsite records for possible offsite storage.
- Perform other duties and projects as requested.
BASIC QUALIFICATIONS (Must be listed on resume to be considered):
- High school diploma or GED Equivalent required.
- Minimum of four years of experience working with legal records management required OR a minimum of five years of administrative experience within a law firm required.
- Must live within a commutable distance to the office required.
ADDITIONAL QUALIFICATIONS:
- This role is required to be in the office 5 days per week.
- Bachelor’s Degree preferred.
- Strong working knowledge of IRM and iManage preferred.
- Knowledge of records preservation procedures, practices, and techniques.
- Knowledge of Professional Services Firm’s records programs.
- Ability to lift and move multiple boxes weighing (40) – (60) pounds.
