Job Summary
The Leadership Assistant will provide comprehensive support to the executive leadership team, including managing schedules, coordinating meetings, handling communications, and assisting with special projects. The ideal candidate is highly organized, proactive, and capable of handling confidential information with discretion. This role requires excellent communication skills, attention to detail, and the ability to work independently.
Key Responsibilities:
- Administrative Support:
- Manage calendars, schedule appointments, and coordinate meetings for the leadership team.
- Prepare and organize meeting agendas, materials, and minutes.
- Handle travel arrangements, including booking flights, accommodations, and transportation.
- Process expense reports and manage financial documentation.
- Communication Management:
- Act as a liaison between the leadership team and internal/external stakeholders.
- Draft, review, and send out communications on behalf of the leadership team.
- Monitor and respond to emails, phone calls, and other communications in a timely manner.
- Project Coordination:
- Assist with the planning and execution of special projects and initiatives.
- Track project deadlines and deliverables, ensuring timely completion.
- Collaborate with different departments to gather information and resources needed for projects.
- Document Preparation:
- Prepare presentations, reports, and other documents as needed.
- Maintain and organize files, records, and documentation.
- Ensure all documents are accurate, professionally formatted, and delivered on time.
- Confidentiality and Discretion:
- Handle sensitive information with the highest level of confidentiality.
- Ensure compliance with company policies and procedures regarding data privacy.
- Office Management Support:
- Assist with office management coverage during lunch breaks and POS for breakfast
Qualifications
- Education: Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- Experience: Minimum of 3 years of experience in an administrative support role, preferably supporting senior executives.
- Skills:
- Strong organizational and time management skills.
- Excellent verbal and written communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to manage multiple tasks and prioritize effectively.
- High level of discretion and professionalism.
- Strong interpersonal skills and the ability to work collaboratively.
- Attention to detail and problem-solving skills.
- 60 -90 wpm is required.
