We are offering a short-term contract employment opportunity for a Secretary in the education sector, based in Vallejo, California. The role involves providing administrative support within an educational institution, working on-site to assist with various tasks such as managing communication channels, scheduling, and data entry.
Secretary Responsibilities
- Manage the switchboard, ensuring all incoming calls are answered and directed appropriately.
- Assist with the coordination of meetings and conference calls.
- Maintain employee timesheets, ensuring all data is accurate and up-to-date.
- Provide assistance to customers, answering their queries and addressing their concerns.
- Coordinate appointments, ensuring the smooth running of the office schedule.
- Utilize MS Word and MS Excel to create and manage documents and spreadsheets.
- Handle email correspondence, ensuring all communication is answered in a timely manner.
- Provide support in managing calendars, ensuring all appointments are scheduled and reminders are set.
- Perform data entry tasks, ensuring all customer information is accurately recorded and updated.
- Multitask effectively to ensure all administrative tasks are completed efficiently.

Requirements
- Minimum of 5 years of experience in a secretarial role, preferably within the education sector
- Proven ability to assist customers in a professional and courteous manner
- Experience working within educational institutions is strongly preferred
- Proficiency in managing switchboard and handling multiple phone lines
- Experience with employee timesheet management and data entry
- Ability to multitask and prioritize work effectively
- Experience in coordinating conference calls and arranging meetings
- Proficient in scheduling and coordinating appointments
- Advanced skills in MS Word and MS Excel
- Demonstrated ability to handle confidential and sensitive information with discretion
- Excellent verbal and written communication skills
- Strong organizational and time management skills
- High attention to detail and accuracy in work
- Ability to work independently and as part of a team
- Ability to adapt to changes and work in a fast-paced environment.
