Position Summary:
We are looking for a highly organized and proactive
Admin Assistant to join our client's team. In this role, you will handle a variety of administrative tasks to support the day-to-day operations of our hearing solutions company. You will assist with scheduling, data management, customer communications, and other critical administrative functions, ensuring a smooth and efficient workflow.
Key Responsibilities:
- Provide administrative support to the team, including scheduling appointments, managing calendars, and coordinating meetings.
- Handle incoming calls, emails, and customer inquiries in a professional and courteous manner.
- Manage patient records, input data into electronic health records (EHR) systems, and ensure information is accurate and up to date.
- Assist with processing hearing aid orders, repairs, and tracking shipments.
- Coordinate communication between clients, audiologists, and other team members.
- Prepare and distribute reports, memos, and other documents as needed.
- Help manage office supplies and place orders when necessary.
- Support marketing and communication efforts by assisting with client outreach and follow-up.
- Ensure compliance with company policies, HIPAA regulations, and other industry standards.
- Perform general administrative duties such as filing, data entry, and maintaining organized digital records.
Requirements:
- Proven experience in an administrative support role (experience in healthcare or audiology fields is a plus).
- Strong proficiency in Microsoft Office, Google Workspace, and other office software.
- Experience with electronic health record (EHR) systems is preferred.
- Excellent verbal and written communication skills.
- Ability to multitask and prioritize tasks efficiently in a remote setting.
- High attention to detail and accuracy.
- Ability to work independently with minimal supervision.
- Strong problem-solving skills and a proactive approach to administrative tasks.
- Preferred Qualifications:
- Prior experience in a healthcare or audiology-related environment.
- Knowledge of hearing aids, accessories, or audiology services.
- Familiarity with HIPAA and patient confidentiality protocols.
