We are looking for a proactive, savvy and experience individual to support several facets of our team. This role ensures efficient operations and delivery of quality services while exhibiting superlative administrative and organizational strengths. The ideal candidate will have a willingness to learn, excellent ability to manage time and prioritize tasks, and ability to take direction froma a variety of senior staff with a variety of different roles throughout the organization.
Responsibilities:
Accounting (25%)
- Accounts Payable data entry
- Reconcile monthly Credit Card statements.
- Obtaining vendor invoice and W9’s as needed.
- Assist Controller as necessary.
Executive Assistant (50%)
- Proactively provides administrative support for the needs of senior staff.
- Manage and maintain the senior staff’s complex calendars and daily schedules, including but not limited to tracking on follow-up relevant to major priorities, meetings, and email; drafting communication and other materials; calendar management, expense reporting, scheduling, and travel logistics.
- Provide administrative support of materials, presentations, and briefings for meetings with key internal and external stakeholders.
- Assist with special projects and initiatives as needed, providing research, analysis, and administrative support.
- Prepare and proofread correspondence, reports, and presentations.
Office Management (25%)
- Purchasing and maintaining office supplies.
- Liaison with building management company to address facility needs.
- IT point of contact
- Planning events, meetings, and activities for staff
- Provide front desk coverage.
Knowledge Skills and Abilities:
- Ability to manage multiple priorities with attention to detail.
- Must be a creative and strategic thinker and possess analytical skills to identify and resolve problems quickly.
- Handle sensitive and confidential information with the highest level of discretion and integrity.
- Strong verbal and written communication.

- Ability to work well with a team and independently.
Education/Certification Requirements
- 5+ years administrative experience
- Bachelor’s Degree preferred.
- Proficient in Microsoft office suite
- Costpoint experience preferred.
