A Day in the Life:
The Administrative Assistant is accountable for the coordination and delivery of special events, assisting with the management of daily business activities, lists of tasks, calendar management and managing communication channels between inter and cross functional organizations. We are looking for someone who pays strong attention to detail, is highly organized, and has experience in project coordination and management, supporting multiple high energy executives. Excellent oral and written communication skills are also required to interface in a cross functional team environment with various levels of management.
Responsibilities:
- Provide comprehensive support and event production organization for special events, and team engagement activities.
- Assisting with project management by creating assignments, tracking progress, and resolving issues.
- Assisting with the management of daily business operational activities.
- Coordinating and managing the planning of the quarterly business reviews and other Leadership meetings.
- Managing all Executive communications, regular and ad hoc – including Executive update, etc.
- Assisting with the development of presentations for board, operations meetings and other key meetings
- Managing a virtual team of internal and external stakeholder relations to support Executive Leadership.
- Preparing and maintaining operations documents and reports.
- comprehensive metrics collection to support evolving business needs.
- Manage key relationships with external service providers and vendors.
- Manage key relationships ensuring correct alignment with business priorities.
Requirements:
- Bachelor's degree preferred. (preferably in business administration, communications, project management, or similar)
- Minimum of 2 years’ experience supporting managers, and, ideally, a highly distributed team.
- Experience in office management or administrative role.
- Experience in project coordination and management
- Proficiency in Microsoft Office
- Experience with Concur, Workday, Oracle, Salesforce.com or similar systems
- Experience with Project Management software
- Open to Travel, as needed
