Description
Are you a detail-oriented, proactive individual with a knack for organization? We are seeking someone like you to provide essential support for a federally funded educational and training program associated with the U.S. Department of Education's Integrated Postsecondary Education Data System (IPEDS). This role involves working in a dynamic, team-focused environment.
Responsibilities
- Offer comprehensive administrative, operational, customer service, and logistical support for the IPEDS program.
- Manage course and workshop registrations, cancellations, waitlists, and update customer records in the management database.
- Set up and configure courses in the learning management system, collaborating with the technology team for support.
- Assist with event planning and coordination, working with contractors, associations, instructors, and other stakeholders.
- Support both virtual and in-person trainings and workshops, including event setup, instructor coordination, facilitation of live events, and preparation of materials, presentations, and resources.
- Serve as the main point of contact for participants, instructors, and mentors in the IPEDS training program. Handle phone and email inquiries, resolving issues directly or directing them to the appropriate team member.
- Assist with document and record management, including organizing and tracking contracts, instructor expense reports, and payment schedules.
- Help with finance and accounting tasks such as routing, tracking, and reconciling payment requests, expenses, and reimbursements.
- Compile data on training metrics and evaluations, including participant profiles and feedback.
Requirements
- At least two years of administrative experience, including customer support, event logistics, invoicing, reporting, and data entry.
- Proficiency with Microsoft Office products.
- Strong computer and internet skills; comfortable with technology and eager to learn new software and platforms.
- High attention to detail for accurate processing of registrations, invoicing, and payments.
- Excellent customer service abilities.
- Strong interpersonal skills, with the ability to work both independently and collaboratively in a remote setting.
- Experience in planning events or meetings with external partners.
- Strong organizational and time management skills with the ability to prioritize multiple tasks.
- A curious mindset and willingness to ask questions and solve problems.
Preferred
- Bachelor's or associate degree.
- Experience with a member or trade association related to higher education.
- Experience working remotely.
