This position is for the Railcar division.
We are looking for an Administrative Assistant.
The role will initially be 20 hours per week for the first 1-2 months, but based on performance and timing, it can transition to full-time employment (FTE). We are looking for a customer service-oriented candidate with the initiative to support day-to-day operations in an administrative role. The position will involve handling a variety of administrative tasks, preparation of reports, preparation of presentations, and the filing of documents and correspondence.
- Ordering of office materials and other equipment to support facility start-up (clothing, supplies, hardware, etc.)
- Collection and sorting of all incoming mail
- Consolidation, printing, and distribution of weekly site newsletter – contributing to other existing communications channels such as electronic screens and internal social networks
- Maintains records and filing systems, enters data into systems, and performs the administration of programs, projects, and or processes specific to the Lexington site office.
- Support the onboarding of new employees by tracking candidate progress, entering key system information, and ordering IT hardware
- Managing meeting room schedules, and coordinating meals and room reservations for meetings and workshops
- Management of guest access to the site and scheduling of key visits
- Final review of information and presentations to share externally
- The position will require strong organizational skills and effective communication skills in order to work across organizational boundaries to engage employee participation in a variety of programs.
- The position will also support preparatory activities associated with the site activities including onboarding, general office, and internal activities.
- A flexible schedule is needed to meet deadlines as required and to support a variety of events and workshops
- Job responsibilities may change as business needs change.
- The position requires full-time on-site involvement.
