Position Overview:The Development Support Administrator will play a key role in supporting The Guardsmen’s development team on a part-time basis. This role focuses on managing donor information, assisting with gift processing, generating tax receipts, supporting fundraising efforts, and ensuring the efficient operation of development systems. The candidate must have experience with Razor's Edge NXT, as well as proficiency in Excel and Google Sheets. Related and additional responsibilities include data entry, reporting, and providing administrative assistance to the fundraising team.
Key Responsibilities:- Database Management:
- Manage and maintain donor and fundraising data within Razor's Edge NXT.
- Perform data entry, clean-up, and updates to ensure accuracy in donor records.
- Generate donor reports, mailing lists, and donation summaries.
- Track donations, pledges, and gift acknowledgments.
Gift Processing & Tax Receipts:
- Manage the processing of charitable donations, including cash donations, in-kind donations, and ensure timely and accurate recording.
- Create and issue tax receipts for donations in accordance with legal and organization requirements.
- Monitor and track outstanding donation commitments and follow up as necessary with donor and internal contacts.
- Reporting and Analytics:
- Generate reports and analyze data using Excel and Google Sheets to track fundraising progress, donor engagement, and event outcomes.
- Close out events to ensure reconciled revenue.
- Collaboration:
- Work closely with the Development Director, Director of Programs, and event teams to track and reconcile donations and ensure timely gift processing.
- Provide relevant documents, reports and analysis to organization bookkeeper.
- Coordinate with external stakeholders and vendors for fundraising events and communications.
- Process Improvement:
- Identify opportunities to streamline data management and reporting processes.
- Collaborate with the team to develop best practices for donor management and reporting.
Required Qualifications:- Proficiency in Razor's Edge NXT for managing and optimizing donor databases and processing gifts and receipts.
- Proficiency in Microsoft Excel (advanced knowledge of formulas, pivot tables, and charts) and Google Sheets for revenue reconciliation.
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Attention to detail for maintaining accurate records and reports.
- Excellent written and verbal communication skills.
- Ability to work collaboratively in a team-oriented environment with a wide variety of event team members.
Preferred Qualifications:- Experience working in a nonprofit organization or development role.
- Familiarity with donor stewardship and fundraising practices.
- Strong analytical skills and the ability to generate insights from data.
- Event coordination or fundraising campaign experience is a plus.
Education:- Bachelor’s degree in Business Administration, Nonprofit Management, or a related field, or equivalent work experience.
Compensation & Benefits:- Competitive hourly rate ($18-30/hr based on experience).
- Flexible work schedule but workload is estimated to vary between 40-80 hours per month.
