Role Description
The Administrative Assistant/Receptionist position plays a vital role in providing a warm welcome to our clients and ensuring an efficient flow of daily office operations. This part-time or full-time role includes performing administrative tasks such as answering and directing phone calls, scheduling appointments, coordinating with other team members, coordinating patient referrals, data entry as well as directly assisting the company owner with business operations.
Responsibilities:
- Manage and maintain executive's schedules, appointments, and travel arrangements.
- Handle incoming calls, emails, faxes, and correspondence, redirecting them as necessary.
- Assist with marketing and sales efforts
- Assist with new patient acquisition
- Correspondence with referral relationships, physician offices
- Coordination of new patient referrals
- Organize and maintain office files and documents.
- Greet and assist clients in a professional and friendly manner.
- Order, clean, and maintain office supplies and equipment.
- Handle sensitive and confidential health information with discretion.
Qualifications
- Excellent communication and interpersonal skills
- Proficient with Microsoft Office suite (Word, Excel, and Outlook) and Google Drive
- Strong organizational skills with the ability to multitask and prioritize
- Desire to work in a fast-paced environment
- Detail-oriented and able to maintain accurate records and files
- Previous experience in an administrative or receptionist role preferred
- Associate's degree (or higher) or relevant experience in lieu of a degree
- Ability to work and contribute in a team environment
- Flexibility to adapt and learn in a dynamic environment
- Valid driver's license in good standing
