FF&E Manager
Summary:
Responsible for the end-to-end management of furniture, fixtures, and equipment components in design, renovation, or new construction projects. This role involves assisting in and/or overseeing the selection, procurement, delivery, and installation processes while ensuring adherence to project timelines, budgets, and quality standards. The FF&E Project Manager will work closely with interior designers, architects, vendors, contractors, and internal clients to deliver projects on time, within budget, and scope.
Responsibilities:
Project Planning & Management:
- Develop and manage FF&E project timelines, budgets, and scopes of work.
- Collaborate with design and branding teams (and others when applicable) to understand the vision and ensure FF&E aligns with overall project objectives.
- Prepare detailed procurement schedules, including lead times, and shipping, and coordinate installation phases.
Procurement & Budgeting:
- Oversee the procurement process, including price negotiations, order placement, and tracking deliveries.
- Maintain and monitor project budgets, ensuring cost-effective sourcing while meeting design requirements.
- Review purchase orders, invoices, and payments to vendors.
FF&E Selection:
- Manage the selection and specification process for furniture, fixtures, equipment, fabrics, and finishes.
- Source materials and products from suppliers to meet design specifications, budget and internal client expectations.
- Ensure all selected FF&E items meet quality, safety, and sustainability standards.
Vendor & Supplier Coordination:
- Establish and maintain relationships with vendors, suppliers, and contractors to ensure timely and accurate delivery of FF&E items.
- Conduct site visits and assist in managing installation teams to ensure correct placement and quality control during installation.
- Address and resolve any logistical challenges or delays related to deliveries and installations.
Quality Control & Reporting:
- Ensure all FF&E installations comply with project plans, design intent, and quality standards.
- Provide regular progress reports to all necessary internal clients, highlighting any issues, changes, or updates in a timely manner.
- Conduct post-installation evaluations and quality assurance checks to ensure internal client and design satisfaction and resolve any outstanding concerns.
Compliance & Risk Management:
- Ensure all FF&E elements adhere to local building codes, safety regulations, and industry standards.
- Identify potential project risks and work proactively to mitigate them.
- Maintain accurate project documentation, including specifications, approvals, and change orders.
Experience/Qualifications:
- Minimum of 3-5 years of experience in FF&E project management, preferably in high-end hospitality.
- Strong understanding of furniture, fixtures, and equipment procurement processes.
- Proficient in project management software and tools, such as MS Project or similar.
- Excellent negotiation, budgeting, and cost-control skills.
- Strong leadership and communication skills with the ability to manage multiple projects.
- Ability to travel for site visits and vendor meetings as required.
Education and Certification(s)/License(s):
- Bachelor’s degree in business, Project Management, Materials Management, Supply Chain, or related fields required.
- Must be able to legally work in the USA.
Skills:
- Strong organizational and time management skills.
- Detail-oriented with a focus on quality control.
- Ability to manage multiple projects simultaneously in a fast-paced environment.
- Problem-solving and decision-making capabilities.
- Have a functional understanding of cost accounting and adopt to practical applications.
- Advanced computer skills and be able to understand electronic processing
- Knowledge of industry trends and sustainability practices in FF&E.
