Operational Administrative Assistant
Position Overview:
We are seeking a dedicated Operational Administrative Assistant to join our dynamic streetwear clothing brand. In this role, you will be responsible for supporting daily operational and administrative tasks to ensure the smooth running of our fast-paced, creative environment. As part of a leading streetwear brand, you will collaborate with various teams to streamline processes, coordinate logistics, and provide essential administrative support. The ideal candidate is passionate about streetwear culture, highly organized, and capable of managing multiple responsibilities with precision and professionalism.
Key Duties and Responsibilities:
- Office Management & Administrative Support
- Coordinate and manage schedules, meetings, and travel arrangements for executives or staff
- Handle phone calls, emails, and correspondence, directing them to appropriate personnel
- Prepare reports, presentations, and other documentation as requested
- Maintain office supplies and manage vendor relationships for office-related purchases
- Organize and manage office files, both physical and digital
- Operational Support
- Assist in day-to-day business operations including procurement, logistics, and process coordination
- Help with data entry, maintaining operational records, and updating internal databases
- Monitor office procedures and suggest improvements to enhance efficiency
- Collaborate with operations teams to manage project timelines and deliverables
- Communication & Coordination
- Serve as a liaison between departments to ensure the smooth flow of communication and task execution
- Coordinate and schedule meetings, conferences, and staff events
- Help manage internal communication platforms, ensuring key announcements and updates are shared promptly
- Project Assistance
- Provide administrative support for ongoing projects, including tracking deadlines, organizing files, and assisting with resource coordination
- Compile data and create reports for operational performance reviews
- Other Clerical Responsibilities
- Assist with payroll processing, invoicing, and expense tracking as needed
- Maintain confidentiality with sensitive information, documents, and company matters
- Provide backup support to other administrative staff during periods of absence or high workload
Required Skills and Qualifications:
- Education: High school diploma or equivalent required; Associate's or Bachelor's degree preferred
- Experience: 3-5 years of experience in an administrative or operational support role
- Technical Skills: Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and experience with scheduling software, databases, and office equipment
- Soft Skills: Excellent communication skills, both written and verbal; highly organized; ability to multitask and prioritize tasks efficiently
- Attention to Detail: Accuracy in handling data entry, document preparation, and project coordination
- Must have own transportation and valid driver’s license
- Must be willing to travel state-to-state when needed
