Construction firm managing multiple entities, dedicated to delivering high-quality construction services. We are seeking a highly skilled and detail-oriented Accounting and Payroll Specialist to oversee a range of financial and administrative tasks. This role involves handling weekly payroll using Paychex, managing accounts payable and receivable, overseeing job costing, and ensuring accurate financial reporting and office operations. Payroll Management
Process weekly payroll for all entities using Paychex.
Ensure accurate and timely processing of employee wages, benefits, and deductions.
Address and resolve payroll-related inquiries and issues.
Accounts Payable
Manage and process invoices from vendors and subcontractors.
Verify accuracy of invoices, ensure timely payments, and maintain accurate records.
Reconcile accounts payable statements and resolve discrepancies.
Accounts Receivable
Oversee billing and collections for projects and services.
Ensure timely and accurate invoicing to clients and follow up on outstanding receivables.
Reconcile accounts receivable records and resolve payment issues.
Job Costing
Track and allocate costs to various construction projects.
Monitor and analyze job cost reports to ensure budgets are adhered to and profitability is maintained.
Collaborate with project managers to ensure accurate cost tracking.
Bank Reconciliations
Perform monthly bank reconciliations to ensure accuracy of cash balances.
Investigate and resolve any discrepancies between bank statements and accounting records.
Credit Card Transactions
Review and reconcile credit card transactions and statements.
Ensure all credit card expenses are accurately recorded and properly documented.
Office Operations
Support general office operations, including filing, data entry, and correspondence.
Assist with administrative tasks as needed to ensure smooth office functioning.
Requirements
Qualifications:
- 3+ years of experience
- Proficiency in sage software and Microsoft Office Suite.
- Excellent analytical skills with attention to detail.
- Strong communication and interpersonal skills.
- Ability to work under pressure and meet tight deadlines.
