Job Overview
We are in search of an exceptionally talented Virtual Executive Assistant to provide pivotal support to our executive leadership team. In this role, you will manage essential administrative functions for the CEO and other key executives, ensuring efficient operations and robust communication with various stakeholders, particularly those in the US. This is a part-time contractor position, requiring between 10 to 25 hours per week.
Key Responsibilities
- Oversee complex calendar management, scheduling meetings, and coordinating appointments across different time zones.
- Handle sensitive information with the highest level of confidentiality.
- Prepare and organize meeting documents, agendas, presentations, and reports.
- Arrange travel logistics for both domestic and international journeys.
- Act as a liaison between the executive team and both internal and external stakeholders.
- Draft, proofread, and send communications on behalf of the CEO.
- Attend meetings, record minutes, and ensure follow-up on action items for timely completion.
- Support executive-led projects, ensuring timelines and milestones are adhered to.
- Organize and coordinate company events, executive off-sites, and team-building activities.
- Maintain and manage files, records, and documentation to ensure easy accessibility.
- Build and nurture strong relationships with internal teams, external partners, and clients, proactively anticipating the needs of executives.
Required Skills
- Fluent in English (spoken and written); proficiency in German is a plus but not mandatory.
- A minimum of 3 years of experience as an Executive Assistant, preferably within the tech industry or a fast-paced environment.
- Proficient in Google Workspace (Gmail, Google Drive, Docs, Sheets, Slides, and Forms) or Microsoft Office Suite (Word, Excel, PowerPoint); familiarity with project management tools such as Notion or Trello, and communication platforms like Slack or Zoom is essential. Experience with Superhuman is advantageous.

Qualifications
- Experience collaborating with senior executives within a global organization is preferred.
- Familiarity with the fast-paced nature of startups in the tech sector is desirable.
- Previous experience working across diverse cultural contexts and time zones will be beneficial.
- Basic understanding of project management methodologies is a plus.
- A background in accounting, finance, or legal aspects related to startup agreements is advantageous.
- Must be available to work within one of the following time zones: CET, BST, Eastern, or Central Time, or no further west than Switzerland.
