Job Overview
We are seeking a proactive and dedicated part-time Virtual Assistant to become a vital member of our team. In this dynamic role, you will provide essential support in a fast-paced environment, managing a variety of tasks while seamlessly adapting to shifting priorities. Although experience in business or government contracting is advantageous, it is not a prerequisite.
Key Responsibilities
- Draft and meticulously review technical documents.
- Execute data mining tasks to enhance our sales pipeline.
- Assist in the preparation of comprehensive reports and proposals.
- Create and uphold an organized cloud-based filing system.
- Regularly update and manage office policies and procedures.
- Procure office supplies and explore new deals and suppliers.
- Conduct necessary phone communications.
- Organize and schedule appointments efficiently.
- Plan and facilitate meetings, taking detailed minutes as required.
- Draft and distribute emails, memos, letters, faxes, and forms.
- Act as the primary point of contact for both internal and external clients.
Required Skills
- Demonstrated experience as an administrative assistant or in a comparable office role.
- Familiarity with office management systems and procedures.
- Proficient in using office equipment, including printers and laptops.
- High level of proficiency in Microsoft Office, particularly Excel and PowerPoint.
- Exceptional time management skills with the ability to prioritize tasks effectively.
- Strong attention to detail paired with excellent problem-solving capabilities.
- Outstanding written and verbal communication skills.
- Strong organizational skills with the ability to multitask effectively.
Qualifications
- A high school diploma is required; additional qualifications as an Administrative Assistant or Secretary are preferred but not mandatory.
