We are seeking a highly organized and proactive Virtual Administrative Assistant to support our team with various administrative tasks remotely. The ideal candidate will be a self-starter, have excellent communication skills, and be able to handle multiple tasks while maintaining attention to detail. This position involves managing calendars, coordinating meetings, handling communications, and assisting with data entry and project coordination. Experience in an IT or tech environment is preferred but not required.
Pay:$18 - $25 per hour.
Duties and Responsibilities:
Calendar and Meeting Management:
- Schedule and manage virtual meetings, ensuring all attendees are notified
- Coordinate availability for internal team meetings and external client meetings
- Maintain updated calendars and provide reminders for important deadlines and events
Email and Communication Handling:
- Manage and respond to emails on behalf of the team or executives
- Serve as the primary point of contact for clients, managing communication flow
- Draft and edit correspondence, reports, and presentations
Document and File Management:
- Organize, update, and maintain digital files and records
- Create and manage shared folders and ensure that documents are easily accessible to the team
- Assist with the preparation of reports and presentations using Google Docs, Excel, or other tools
Project Coordination and Support:
- Provide administrative support for ongoing projects by coordinating tasks, tracking project progress, and following up with team members
- Assist with research and information gathering for various tasks and projects
- Help maintain project timelines and ensure that deliverables are met
Data Entry and Database Management:
- Enter and update data in company systems, CRMs, or databases
- Maintain accurate and up-to-date information related to client records, project details, and inventory
- Ensure data integrity by performing regular checks and updates
Travel and Expense Management:
- Assist with booking travel arrangements, preparing itineraries, and coordinating logistics for team members
- Track and organize expense reports, ensuring timely submission and reimbursement
Client Relations and Support:
- Provide excellent customer service by responding to inquiries and resolving client issues promptly
- Support client onboarding and ensure smooth communication between clients and the team
- Manage client databases and help organize client meetings and reviews
Other Administrative Tasks:
- Assist with various administrative duties such as preparing invoices, managing office supplies (for remote or hybrid teams), and coordinating virtual team-building events
- Manage online collaboration tools (e.g., Slack, Zoom, Microsoft Teams) and assist in troubleshooting basic technical issues
Qualifications:
- Proven experience as a virtual assistant or in an administrative role
- Excellent organizational and time-management skills
- Strong written and verbal communication abilities
- Proficiency with digital tools like Google Workspace (Docs, Sheets), Microsoft Office (Word, Excel), and project management software
- Ability to multitask and prioritize effectively
- Tech-savvy and comfortable with virtual tools like Zoom, Slack, and Trello
