Scheduling Coordinator Role Description
This is a full-time on-site role for a Scheduling Coordinator. Qualifications include the following:
- At least one year of experience with scheduling in a medical office
- Demonstrates excellent written and verbal communication skills with clients/staff in person, on phone and in email
- Demonstrates organization, assertiveness, flexibility and cooperation
- Ability to multi-task in a fast-paced office environment
- Comfortable with children
- Knowledge of Electronic Medical Record systems
- Bilingual Spanish preferred
- Must be available from 9:00am-5:30pm Mon-Fri with reliable transportation
Responsibilities
- The Scheduling Coordinator is responsible for managing all aspects of the workflow to support operations of the speech therapy clinic
- Serve as the primary and secondary responder to all inbound phone calls
- This position requires strong customer service skills and the ability to cultivate positive relationships with clinic staff, school-based and remote employees, clients/families, and referral sources
- Serve as an administrative support resource for all clinical staff by responding to staff requests/concerns, support coordination of care between clinicians and outside providers, and assist with recertification of clinician licenses
- Maintain vacation calendar information to assist in the coordination of patient services and staff availability
- Keep track of details related to the demographic information, skill sets, availability, and productivity levels of staff
- Accurately complete all workflow associated with staff requests for scheduling changes, caseload reassignments, new referral scheduling, missed visit, appointment time change requests
- Support clinical leadership by maintaining the proper daily workflow of tasks
- Communicate effectively, professionally, and thoroughly with staff regarding coordination of care expectations, educate and uphold deadlines
- Demonstrate commitment, professional growth, and competency
- Provide insight to identify needs for additional staff, and support recruiting events as needed
- Ensure compliance with all state, federal & HIPAA regulatory requirements

Pay Range: $20.00 - $28.00/hr pending experience
