About the Role:
As our Operations Administrator, you’ll be the friendly face welcoming our visitors and tour attendees while also being the organizational mastermind behind coordinating meetings and providing essential administrative support. You’ll play a vital role in ensuring things run smoothly from the moment someone walks in the door, to the follow-up after important meetings.
What You’ll Do:
Welcome Our Tour Attendees:
- Be the welcoming, friendly first point of contact for all visitors and clients.
- Ensure tour attendees are registered and equipped with everything they need for a great experience.
- Manage smooth check-ins and provide materials or badges where necessary.
- Assist with any inquiries, ensuring all attendees feel supported throughout their visit.
- Prepare tour materials and itineraries, ensuring everything is ready to go!
Coordinate & Setup Memorable Meetings:
- Organize meeting details—prepare and distribute agendas and necessary documents.
- Ensure meeting rooms are set up with the right equipment (AV, projectors, etc.) and are meeting-ready.
- Arrange refreshments and catering to keep meetings running smoothly.
- Handle post-meeting tasks, from distributing minutes to tracking follow-up action points.
Provide General Administrative Support:
- Manage calls, emails, and correspondence, ensuring everything is handled promptly and professionally.
- Maintain records, spreadsheets, and databases with attention to detail.
- Support day-to-day administrative tasks such as filing, scanning, and data entry.
Deliver Outstanding Customer Service & Communication:
- Act as a key liaison between internal teams and external stakeholders to ensure smooth communication.
- Provide top-notch customer service to clients, partners, and visitors.
- Proactively solve problems and handle inquiries, escalating to senior management when needed.
Other Duties:
- Jump in to assist with ad-hoc administrative tasks.
- Ensure compliance with company policies, including data protection and health and safety.
- Support special projects and company initiatives as needed.
What We’re Looking For:
Essential Qualifications & Skills:
- Minimum of GCSEs (or equivalent). Additional qualifications in business administration or customer service are a plus!
- Excellent communication and interpersonal skills—you’re approachable, clear, and professional.
- Strong organizational skills with an eye for detail—you love making sure nothing slips through the cracks.
- Ability to manage time effectively and juggle priorities.
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint) and virtual meeting platforms (Zoom, Teams).
- Can work independently while also being a collaborative team player.
- Strong problem-solving skills and a calm demeanor under pressure.
Preferred Experience:
- Prior experience in event planning, meeting coordination, or customer-facing roles will set you apart!
