Position Summary
We are seeking a detail-oriented and organized HR Coordinator to join our Human Resources team. The ideal candidate will be responsible for a variety of administrative duties and supports HR Team.
Key Responsibilities
- Perform general administrative tasks, including answering phones, managing calendars, and arranging meetings.
- Responsible for HRIS administration including resetting passwords, checking employee access, updating managers and reporting structure, checking timecards, running reports, checking PTOs, employee deductions, and benefits enrollments.
- Maintain accurate and up-to-date records of all the changes in HRIS and submit and process PAFs as needed.
- Assist with HR-related inquiries and provide support to the HR team as needed.
- Maintain and update employees' records and databases.
- Assist with hiring and onboarding processes such as collecting I-9 documents, ordering new hire lunch, collaborating with the office service team to reserve and prepare a conference room for on-boarding, assist with the new hire giveaways.
- Serve as a point of contact for new hires, providing information and answering questions related to onboarding and HR processes.
- HRIS admin work includes resetting passwords, checking employee access, updating managers and reporting, checking timecards, running reports, checking PTO, deductions, and benefits enrollments.
- Maintain and update all HR trackers such as referral bonus and benefits eligibility trackers.
- Respond to employment verification requests and unemployment claims.
- Conduct on-boarding once a month.
- Develop and maintain on-boarding and off-boarding checklists to ensure all steps are completed.
- Arrange travel accommodations, including booking flights, hotels, and transportation for employees as needed.
- Coordinate meal arrangements and other logistics for employees traveling on business.
- Manage travel expense reports and ensure compliance with company travel policies.
- Maintain effective communication with employees and managers regarding HR-related matters.
- Other duties as assigned.
Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or a related field is preferred.
- Minimum of 2 years of experience in an HR support role.
- Strong understanding of HR processes and compliance requirements.
- Excellent written and verbal communication skills.
- Exceptional organizational skills and attention to detail.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Proficiency in Microsoft Office Suite and HR information systems (HRIS).
- High level of professionalism and the ability to handle confidential information discreetly.
Physical Requirements
- Office environment with normal business hours necessary to satisfactorily perform job functions.
- Stand/Sit – Must be able to remain in a stationary position up to 50% of the time.
- Walk – This position needs to occasionally move about inside the office to access file cabinets, meeting rooms, office machinery, etc.
- Use of hands/fingers to handle or feel – constantly operates a computer and other office machinery such as a copy machine/printer.
- Climbs stairs – May occasionally ascends/descends the stairs to get to other floors, cafeteria and parking area.
- Carry weight/lift - Occasionally moves supplies weighing up to 10 pounds for various presentation and event needs.
