Job Description
Family Court Mental Health Services (FCMHS) is a mandated, direct-service program administered by the Central Office Division of Medical and Professional Affairs. It serves a culturally diverse population of families, youth and adults by performing a wide variety of court-ordered evaluations in child protective, delinquency, and domestic violence cases, other Family Court proceedings, and on-site emergencies. Clinics are located in all five boroughs of New York City Family Courts, the Bronx, Brooklyn, Manhattan, Queens and Staten Island. FCMHS receives referrals for evaluation only from the Court, via judicial order.
Under the direction of the Clinic Director, the Assistant Coordinating Manager provides a range of administrative support functions that ensures the timely submission of forensic psychological assessments to the Family Court.
General Tasks And Responsibilities Will Include
- Assists clinic director with managing the daily administrative operations of the MHS Clinic
- Greets clients, informs clinicians of their arrival for assessment, and troubleshoots clients’ issues
- Registers referrals for mental health evaluations and updates referral management system (Monday.com) with client demographic information, adjournment dates, etc.
- Schedules clients for mental health assessments
- Creates electronic files for litigants/respondents; maintains, and updates electronic files in the MHS shared drive
- Communicates with court stakeholders to request case related documents and client contact information
- Submits/uploads all reports to Court, EDDS and the FCMHS shared drive
- Makes appointment reminder telephone calls to litigants, respondents and collaterals; and prepare and send outreach letters to clients
- Provides back-up clinic coverage to all MHS clinics as needed
- Attends weekly clinic team and monthly administration staff meetings
- Conducts daily review of the clinic’s voicemail account, email inbox, and RightFax accounts
- Assists with compiling and preparing monthly clinic-specific program reports
- Other duties as directed by the MHS Clinic Director
Minimum Qualifications
- A Baccalaureate Degree from an accredited college or university in Business Administration, Community Health, Psychology or related discipline with one year of full-time experience in a supervisory or administrative capacity in business management systems, general administration, health care and medical/patient systems administration; or,
- A satisfactory combination of education, training and experience.
Department Preferences
- A minimum of 2 years of experience in Administration
- Knowledgeable Court System/Child Welfare Programs
