PROJECT MANAGEMENT OFFICE (PMO) MANAGER
JOB SUMMARY
We seek an experienced and dynamic PMO Manager to lead our Project Management Office. The PMO Manager will be responsible for establishing the infrastructure to manage the day-to-day and oversee a portfolio of approximately 100 concurrent medium-size projects. This role is crucial for ensuring that all projects are delivered on time, within scope, and within budget while also meeting the highest quality standards.
Additionally, the PMO Manager will lead efforts to design and implement real-time dashboards for client status reporting. The ideal candidate will have at least 5 years of experience managing a PMO in a fast-paced, multi-project environment and a proven track record in project governance, resource management, and performance reporting.
The role reports directly to a Principal Consultant and/or Project Director and is responsible for leading and managing the PMO to ensure seamless delivery.
The projects managed via the PMO are healthcare Quality Improvement projects, not software development projects. Projects are highly structured around milestones and deliverables. This role ensures consistent processes, data collection and milestone completion at scale. Roughly 10-12 consultants deliver the services across the portfolio of 100 projects.

ESSENTIAL FUNCTIONS
• Develop, implement, and continuously improve project management frameworks, methodologies, artifact templates and best practices for managing the project portfolio.
• Create and maintain real-time dashboards to effectively report project status, risks, and performance metrics to clients and internal stakeholders.
• Establish governance processes to ensure project consistency, accountability, and transparency across the portfolio.
• Manage resource allocation across the projects, optimizing project delivery while balancing capacity and workload.
• Collaborate with project teams to identify and mitigate risks, resolve issues, and escalate concerns as necessary.
• Provide leadership and guidance to the Principal Consultant, ensuring projects are delivered within scope, on time, and within budget.
• Drive continuous improvement initiatives to enhance the efficiency and effectiveness of project delivery.
• Prepare and present regular project portfolio reports to executive leadership and clients.
• Coordinate with cross-functional teams to manage project interdependencies and milestones efficiently.
• Organize and structure repository for all project artifacts and collateral.
KNOWLEDGE, SKILLS, AND ABILITIES
• Deep understanding of project management methodologies and best practices (e.g., Agile, Scrum, Waterfall).
• Familiarity with project management tools (e.g., Monday.com, Jira).
• Knowledge of enterprise project management and work collaboration tools.
• Experience with CRM systems and their integration into business processes.
• Knowledge of data visualization and reporting tools.
• Comprehensive understanding of IT infrastructure, including configuration, management, and troubleshooting.
• Familiarity with various software tools (e.g., Slack, ClickTime, Dropbox, Zoom, Google Office Suite).
• Understanding of data security and compliance standards.
• Ability to evaluate and analyze software solutions, understanding their impact on organizational efficiency and productivity.
• Knowledge of internal IT support needs and troubleshooting techniques.
• Minimum of 5 years of experience managing a PMO or overseeing large-scale project portfolios with multiple concurrent small projects.
• Proven experience in creating real-time dashboards and performance reporting tools to provide project visibility to stakeholders.
• Strong understanding of project governance, risk management, and resource management practices.
• Excellent leadership and team management skills, with the ability to mentor and guide project teams.
• Strong analytical and problem-solving skills, with a focus on driving continuous improvement.
• Exceptional communication and presentation skills, with the ability to articulate project progress and issues to both technical and non-technical stakeholders.
• Ability to work under pressure, prioritize tasks, and manage competing demands in a dynamic, fast-paced environment.
• Proficiency in project management software and tools (e.g., Microsoft Project, Smartsheet, Power BI, Tableau, etc.).
• PMP or other relevant project management certifications are highly desirable.

• Maintain confidentiality and comply with the Health Insurance Portability and Accountability Act (HIPAA); confidentiality with clinical, management, and other organizational data/information
• Experience in electronic medical records, data analytics, data visualization, population health management, business intelligence
• Working knowledge of statistical methodologies desired
• Skilled at working with larger data sets, mastery of common programming languages (SQL, SAS, etc.)
• Working knowledge of Tableau or Power BI
JOB QUALIFICATIONS
• Bachelor’s degree in computer science, Engineering, Information Technology, or a related field, is required.
• Master’s Degree, preferred.
• Certifications, preferred:
• Relevant certifications such as PMP (Project Management Professional), ITIL (Information Technology Infrastructure Library), or certifications related to specific software tools (e.g., Jira, Salesforce) can be beneficial.
• Years of Experience: 7-10 years of experience in technical operations, IT management, or a related field.
PHYSICAL AND MENTAL REQUIREMENTS
Employee works remotely and is required to walk, sit, talk/listen and use hands more than 2/3rds of the time. Normal vision is required for the position. Equipment operated includes office machines and computers. Employees may be required to travel up to 50% of the time with travel out of state up to 25% of the time. There may be months of no travel. Employees may be required to be onsite at clinical practice settings and will be subject to the onsite requirements of guests and volunteers as may be determined by the client organization. To support onsite work at client facilities, the employee is required to obtain an annual flu shot and complete COVID-19 vaccination. The employee is required to follow CDC guidelines for COVID-19 in work-related activities, including mask-wearing, social distancing, and quarantining recommendations. The employee is required to deliver high-quality work under pressure and be adaptive to changing business, clients, and conditions.

CLASSIFICATION, BENEFITS, & COMPENSATION
This is a full-time, exempt position and will report to a Principal/Director. Candidates must be authorized to work for any US employer. The Technical Operations Senior Manager must reside in the United States within the Pacific Standard Time (PST), Central Standard Time (CST), or Mountain Standard Time (MST) time zones. The PMO Manager role corresponds to a level with an annual salary of $90,000 to $135,000, depending on education and years of experience.
