Job Overview
We are looking for a dedicated and detail-oriented Administrative Assistant to join our dynamic team. This remote position offers the unique opportunity to support two divisions, ensuring seamless operations and contributing to the overall success of our organization.
Key Responsibilities
- Deliver comprehensive administrative support to two divisions.
- Serve as a liaison between department administration, state agencies, and various stakeholders.
- Conduct research and compile reports for supervisory review as necessary.
- Draft and manage correspondence, ensuring accurate delivery to relevant individuals.
- Facilitate the prompt processing of paperwork and documentation.
- Reserve vehicles and meeting rooms through electronic systems.
- Coordinate out-of-state travel logistics, including transportation, accommodations, and registrations, entering details into the state system.
- Assist staff with expense reporting and manage onboarding arrangements for new employees, such as ordering name plates and laptops.
- Review and distribute incoming and outgoing mail efficiently.
- Contribute to special projects, including the J1 Visa Waiver program.
- Secure necessary approvals for various documents.
- Oversee clerical and administrative functions.
- Perform additional duties as assigned.
- Minimal travel to service locations as required.
Required Skills
- Comprehensive understanding of office administrative functions, theories, and principles.
- Proficiency in Microsoft Office Suite (Word, Excel, Publisher, PowerPoint, Outlook).
- Strong written and verbal communication skills.
- Exceptional attention to detail and proofreading skills.
- Excellent organizational abilities with a focus on task prioritization and multitasking.
- Capability to learn and apply agency and state government system applications.
- Strong interpersonal skills to maintain effective working relationships.
- Self-motivated and meticulous in approach.
Qualifications
- High School Diploma or equivalent.
- A minimum of 3 years of full-time experience in administrative support, bookkeeping, office management, or a related field.
- Relevant certifications and coursework may be considered in lieu of experience.
