We are seeking a highly organized and detail-oriented individual to join our team as an Operations Manager. This role is responsible for planning, executing, and closing different projects at the practice. This role will also focus on managing various initiatives that enhance our practice’s efficiency, improve current processes and systems, and support our mission of delivering exceptional mental health care. The Operations Manager will work closely with the Practice Manager to ensure seamless various project needs, workflows and facilitate collaboration across all departments.
Key Responsibilities:
- Overseeing/Managing Systems and Processes:
- Oversee mission-critical operations like intake, hiring, digital, and billing to ensure work is being properly executed, delegated and running smoothly to meet the needs of the Practice.
- Continuously work to improve all internal workflows, processes, and technology. Ensure systems and processes are aligned, efficient, and fit the businesses’ needs and optimal outcomes. Monitoring systems and updating the Directors and Practice Manager.
- Weekly reporting to Management to keep updated on the status of all operations.
- Project Planning and Execution:
- Operational Improvement Projects: Proactively develop and manage project timelines and resources for initiatives aimed at improving efficiency and the overall performance of the business.
- Event project management: Help to manage certain projects within an operation: for example, coordinating resources to schedule and host a webinar.
- Implementing the Values and Vision of the Practice:
- Collaborate alongside Management to identify areas for operational improvement and develop actionable plans.
- Assist in implementing best practices and policies that enhance both staff and client experiences.
- Facilitate regular check-ins and brainstorming sessions to align on practice goals and share feedback to ensure visions are achieved.
- Data Analysis & Reporting:
- Continuously monitor operations, gather data to assess outcomes, adjusting strategies as needed.
- Provide regular updates to the Management team on overall practice performance.
- Operational Support:
- Be familiar with all operations to serve as back up to any operations when needed. For example, if Practice Manager is away, able to step in and coordinate responsibilities (managing intake operations, scheduling, verifying benefits).
Qualifications:
- Minimum of a Bachelor’s degree and at least three years or experience in an operational role or similar role
- Highly organized. Must demonstrate the ability to analyze situations thoughtfully and develop effective strategies.
- A forward-thinking mindset with a focus on specific project goals and planning.
- Proven track record of successfully implementing plans and initiatives.
- Capable of assessing challenges and implementing practical solutions efficiently.
- Proven experience in project management
- Demonstrate a strong aptitude for learning and utilizing new web-based applications; prior experience with Monday.com (Project management tool), Mailchimp (Email Marketing tool), Therapy Notes (online scheduling and billing management system), WordPress (Content Management System), Canva (Graphic Design tool), Descript (Audio/Video Editing software), Google Ads/Social media marketing, Google Spreadsheets are desirable.
- Strong troubleshooting skills, along with the flexibility and openness to adapt to change in a dynamic environment.
- Strong proficiency in administrative systems with exceptional organizational skills, capable of managing time-sensitive short-term projects and effectively prioritizing a variety of tasks.
- Excellent communicator: able to be responsive and communicative with practice management, staff, and outside parties; able to give and receive feedback in a professional and compassionate way and to adapt communication styles based on the needs of the audience.
Requirements:
- Available on Fridays from 1 to 3 pm for virtual Staff Meetings
- Ability to commute to our office in Manhattan
- Ability to work five days a week and 8 hours shifts with some evening hours
Preferences:
- Working a hybrid schedule (3 days in-person, 2 days virtual)
- Ability to work a weekend shift (either a Saturday or a Sunday)
- Ability and willingness to stay at the practice long-term and fulfill at least two years in the role
- Strong understanding of mental health issues and a passion for supporting client well-being.
- Experience working in the healthcare industry or mental health field

- Salary: $70,000.00 - $80,000.00 per year
- Supplemental pay types:
- Sign on bonus of $5,000
- Semi Annual Bonus up to $5K/per year
- Paid Time Off and Sick Days (10 vacation days, 5 floating holidays and 5 sick days)
