We are committed to excellence and efficiency, and we are looking for a motivated Office and Contracts Administrator to join our team and help us maintain and enhance our operational effectiveness.

Job Summary: The Office and Contracts Administrator will be responsible for overseeing the daily operations of the office and managing all aspects of contract administration. This role requires a detail-oriented individual with strong organisational skills, excellent communication abilities, and a solid understanding of office procedures and contract management.

Key Responsibilities:

Office Management:

Oversee daily office operations, including managing telephone system, office supplies, equipment, and maintenance.
Coordinate office activities and events, such as meetings, conferences, and employee gatherings.
Serve as the main point of contact for office-related inquiries and issues.
Implement and maintain office procedures and systems to ensure smooth operation.

Contracts Administration:

Draft, review, and negotiate supplier agreements in collaboration with contract management teams.
Maintain and update a comprehensive contract database.
Ensure compliance with company policies, legal requirements, and industry standards.
Monitor contract performance and address any issues or discrepancies that arise.

Record Keeping and Documentation:

Maintain accurate and organized records of all contracts, agreements, and office documents.
Ensure proper filing and confidentiality of sensitive information.
Prepare and distribute reports and documentation as required.

Administrative Support:

Provide administrative support to executives and other team members as needed.
Assist in scheduling meetings, managing calendars, and handling correspondence.
Coordinate with vendors, contractors, and service providers.

Compliance and Risk Management:

Assist with risk assessment and mitigation related to contracts and office operations.
Address any compliance issues promptly and effectively.

Qualifications:

Proven experience in office administration and contract management.
Strong understanding of office management procedures
Excellent organizational and multitasking skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
Strong communication skills, both written and verbal.
Ability to work independently and as part of a team.
Attention to detail and problem-solving abilities.

Preferred Attributes:

Prior experience in construction industry with a contracting organisation is advantageous.
