Position Summary

The Safety Administrative Assistant is responsible for coordination and processing various administrative functions. The position reports to the Safety Director.

Candidates local to the Clear Lake area will be given priority.

Responsibilities

Maintain all customer portals and safety databases with accurate and compliant information.
Support the safety team by assisting with the data input and maintenance of the EHS Insight safety system. Upload safety audits, incidents, claim expenses, meetings, and other documentation into EHS Insight.
Provide reporting to the management team concerning the safety stats for their location
Maintain all files and recordkeeping for incidents
Assist with the assembly of safety data for submission of RFQ packets.
Maintain the learning management system, ensuring that all team members complete the required training.
Maintain the DISA random testing requirements each month for completion at the branches.
Ensure DISA DOT Driver Qualification files are up to date, providing oversight to the branches for their drivers.
Participating in monthly claims review with Director to determine proper steps are being taken and communicated.
Ensure adequate supply of office supplies for HQ. Place orders as needed.
Work with safety team to keep all programs, policies, and trainings up to date.

Skills, Knowledge, And Abilities

High School Diploma or equivalentrequired
Strong verbal and written communication skills
Strong organizational skills
Proficient computer skills – Intermediate Word, Excel, Outlook
Minimum 2 years’ experience in office administration role
Pre-qualification database experience a plus
Background in construction/industrial safety preferred
Experience with DISA preferred.

Physical Requirements

Must be able to sit at a computer, read computer screen, and input information for long periods of time. Sharing office space is a possibility. Some light travel could be required. Must be able to move about office as needed. Must be able to lift up to 5 pounds.
