Position Overview: We are seeking an experienced Front Office Assistant to join our team. The ideal candidate will possess strong mathematical and communication skills, and will be comfortable managing multiple responsibilities in a fast-paced environment. This position requires a professional who can work with a high degree of attention to detail and remain organized under pressure. The role is available as a full-time position with benefits or part-time (30+ hours).

Key Responsibilities:

Manage daily office operations, including answering phones, scheduling appointments, and handling client inquiries.
Greet clients warmly and assist with their needs.
Ensure HIPAA compliance in all tasks.
Make appointment reminders and other calls on behalf of clinicians.
Perform accurate data entry and manage office records.
Prepare client files for clinicians.
Assist in maintaining billing accounts (note: we do not contract with insurance companies, so no insurance claims submission is required).
Maintain office supplies and ensure the office environment is clean and organized.
Assist with special projects and tasks as needed to support the team.
Provide exceptional customer service with a positive attitude.

Qualifications:

Associate diploma or higher.
Minimum of five years of office experience.
Proven experience as an office assistant or in another relevant administrative role.
Strong mathematical skills, with the ability to handle billing and payment processing.
Excellent communication skills, both written and verbal.
Highly organized with a strong attention to detail.
Excellent problem solving skills.
Ability to multitask and work efficiently under pressure.
Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other relevant office software.
Ability to work both independently and as part of a team.
Friendly, approachable, and able to maintain a positive demeanor in a busy office environment.
Must enjoy working with children.
Good physical and mental health.
Ability to pass a background check and drug test.
Experience with social media marketing is a plus.
Bilingual proficiency in English and Spanish is a plus.

Job Type: Full-time or Part-time

Pay: From $19.00 per hour (based on experience)

Expected Hours: 30 – 40 per week
