Position Overview: We are seeking an experienced Front Office Assistant to join our team. The ideal candidate will possess strong mathematical and communication skills, and will be comfortable managing multiple responsibilities in a fast-paced environment. This position requires a professional who can work with a high degree of attention to detail and remain organized under pressure. The role is available as a full-time position with benefits or part-time (30+ hours).
Key Responsibilities:
- Manage daily office operations, including answering phones, scheduling appointments, and handling client inquiries.
- Greet clients warmly and assist with their needs.
- Ensure HIPAA compliance in all tasks.
- Make appointment reminders and other calls on behalf of clinicians.
- Perform accurate data entry and manage office records.
- Prepare client files for clinicians.
- Assist in maintaining billing accounts (note: we do not contract with insurance companies, so no insurance claims submission is required).
- Maintain office supplies and ensure the office environment is clean and organized.
- Assist with special projects and tasks as needed to support the team.
- Provide exceptional customer service with a positive attitude.
Qualifications:
- Associate diploma or higher.
- Minimum of five years of office experience.
- Proven experience as an office assistant or in another relevant administrative role.
- Strong mathematical skills, with the ability to handle billing and payment processing.
- Excellent communication skills, both written and verbal.
- Highly organized with a strong attention to detail.
- Excellent problem solving skills.
- Ability to multitask and work efficiently under pressure.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other relevant office software.
- Ability to work both independently and as part of a team.
- Friendly, approachable, and able to maintain a positive demeanor in a busy office environment.
- Must enjoy working with children.
- Good physical and mental health.
- Ability to pass a background check and drug test.
- Experience with social media marketing is a plus.
- Bilingual proficiency in English and Spanish is a plus.
Job Type: Full-time or Part-time
Pay: From $19.00 per hour (based on experience)
Expected Hours: 30 – 40 per week
