Job Title: Business Development Specialist
Immediate Supervisor: Vice President, Strategic Alliances
Secondary Supervisor: Chief Medical Officer
FLSA Status: Salaried Exempt
Essential Job Functions:
- Manages calendars and schedules appointments
- Organizes site visits which are typically high profile business development meetings by planning and coordinating the meeting locations, issuing information or invitations, coordinating participants and controlling event budget
- Prepares agendas, notices, and minutes for meetings
- Performs complex and confidential administrative functions including Excel spreadsheets, PowerPoint presentations, Salesforce, and project management.
- Composes and prepares confidential correspondence, reports and other complex documents
- Arranges travel plans and itineraries, compiles documents for travel-related meetings
- Responds to emails and calls via a company provided device during business hours and outside of business hours when requested.
- Create expense reports which may include reconciliation of credit card statements
- Attends business meetings as needed.
- Assists and manages special projects as assigned.
- Performs other duties as assigned.
- Speaker Coordination - Organizing & scheduling speaker calls & sessions, sending/communicating appropriate information to speakers on a timely basis
- Speaker Tracking – Gather & organize in a shared file BIOS, headshots, titles, social handles, staff attending, security requirements, etc
- Speaker Logistics – Gather & communicate to internal team members what is needed once they are on the ground)
- Coordinate Speaker Readiness Materials/Blue Cards created for every session which are formatted, printed in collaboration with the Producer
- Travel planning liaison with our Travel Agency for select speakers/guests
- Manage Lists & specialty event invitations (Delegate/Guest List/Specialty Events, lunches, breakfasts)
- Sponsorship, Invitation collection (initial & ongoing)
- Sponsorship, hand-off to accounting for invoicing & collection process
- Provide content for the event app, (utilizing the event app template)
- Speaker details, sponsor details
- Write event push notifications for the app – in collaboration with the Executive Director
- Advisory Board Coordinator (Meeting, organization, logistics & Follow Up)
- Team Meeting – Minutes, Action Items, circulated post meeting (internal accountability partner)
- Impact Forum email inbox management before and during the event
- Event onsite duties as assigned.
- Attends marketing meetings and serves as a thought partner for community engagement strategies
- Supports the creation of presentations and contributes to content development for a range of recruitment materials.
- Facilities manager for the Wellness Home, ensuring that the premises are show ready. This work is coordinated with internal & external vendors.
Education, experience and skills required:
- 10 or more years of Project Management/Executive Administrative Assistant (or similar position) experience
- Advanced proficiency in Excel, Word, PowerPoint and Outlook software
- Project management skills
- Ability to interface with all levels of leadership, employees and external customers/vendors.
- Ability to share best practices regarding key functions of the job i.e. organizational tools, computer skills
- Strong interpersonal and teamwork skills
