Position Overview: As an Administrative Assistant, you will play a crucial role in ensuring the smooth and efficient operation of our office. You will manage office supplies, maintain records, handle communications, and support various departments and team members.
Key Responsibilities:
Office Management and Organization:
- Manage office supplies and files when necessary.
- Organize and maintain physical and electronic filing systems.
- Ensure the office environment is clean, professional, and well-organized.
Communication and Correspondence:
- Handle incoming and outgoing communications, including emails, phone calls, and mail.
- Draft, proofread, and edit documents, reports, and correspondence.
- Serve as the first point of contact for visitors and clients, providing a positive and professional impression.
Data Entry and Record Keeping:
- Input and update data in various databases and spreadsheets.
- Maintain accurate and up-to-date records, files, and documentation.
- Assist with preparing and maintaining financial records, such as invoices and expense reports.
Support to Team and Management:
- Provide administrative support to various departments and team members as needed.
- Assist with special projects and tasks assigned by management.
- Coordinate and assist in organizing company events, meetings, and training sessions.
Sales Support:
- Assist with prospecting and contacting new potential customers.
- Prepare quotations.
- Follow up with old customers and prospects.
Qualifications:
- Bachelor's Degree or equivalent; additional qualifications in office administration are a plus.
- Less than one year experience is acceptable for an accomplished recent college graduate
- Proficiency in MS Office (Word, Excel, PowerPoint) and office management software.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multitask and prioritize tasks.
- Detail-oriented and able to maintain accuracy in record keeping.
