Nature of the position:
Reporting directly to the Project Manager, Administrative Specialist will be a detail-oriented, positive, hardworking individual. This person enjoys administrative work and being in an office environment. This position requires a team player who is comfortable multi tasking, working under pressure and problem solving. They enjoy working in a fast-paced environment and love new challenges.
Tasks:
- Ensure that all stock orders are being shipped correctly and on time.
- Invoice orders upon completion.
- Prepare all paperwork to be included with stock orders.
- Create FedEx labels and complete all customs information for international shipments.
- Track every package within 24 hours to ensure seamless delivery.
- Contact courier companies regarding clearance delays to have packages released.
- Prepare job bags for new stock orders being sent to production.
- Prepare tags for all stock rings using the Bartender software.
- Aware and knowledgeable on all programs, displays, merchandising materials and marketing/sales training materials that the company uses.
- Assisting with new product launches.
- Aiding other positions within the team when required.
Requirements:
- 2-3 years experience working in a similar position in an office setting.
- Strong verbal and written communication skills in English
- High attention to detail with ability to catch errors.
- Good memory and mathematical skills
- Ability to multi-task, stay organized and be self-motivated.
- Experience working in a fast-paced environment.
- Experience working under deadlines.
- Strong computer skills
- Strong ethics and standards
- Flexible to change.
Nice to have:
- Experience working in the jewellery or fashion industry.

Availability: Monday-Thursday 8:30am – 5:30pm and Friday 8:30am – 3:00pm
Job Type: Full-time (40h/week)
Compensation will be based on experience.
