About Your Role:
As the Administrative Coordinator you will play a vital role in supporting the organization's event coordination, administrative, and office operations. This multifaceted position facilitates event planning logistics, light invoicing and bookkeeping, managing office operations & supplies, member communications, scheduling, email inbox management, CRM management, and reporting.
Responsibilities:
Event Coordination:
- Assist with executing local, statewide, and national events hosted by the OLS, ensuring each event aligns with the organization's mission and goals.
- Oversee all aspects of event logistics, including venue management, sponsor coordination, catering, and other event-related arrangements.
- Communicate with event attendees, including RSVP management, event reminders, and post-event follow-ups.
- Collaborate with sponsors to support sponsorship recognition and partnerships for events.
Office Management:
- Oversee day-to-day administrative operations, managing office supplies, and maintaining a well-organized work environment.
- Manage incoming and outgoing communications, including emails, phone calls, and letters, ensuring prompt responses.
- Field support coordination for field-based OLS personnel.
Administrative Support:
- Assist with financial tasks such as processing invoices for memberships and sponsorships and budget tracking.
- Calendar support for CEO.
- Undertake any other duties as assigned by the organization, demonstrating adaptability and a willingness to contribute to various aspects of communications and event management in alignment with the organization's mission and goals.
Qualifications:
- Bachelor’s degree or equivalent work experience in business, finance, management, or a related field.
- Minimum of 3-4 years of experience in event planning, administrative support, or a similar role.
- This position requires regular on-site presence in our Ohio State University area office.
- Strong organizational and multitasking skills with the ability to manage multiple tasks and deadlines simultaneously.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite. (Word, Excel, PowerPoint, Outlook)
- Proficiency in CRM management
- Detail-oriented and resourceful with problem-solving abilities.
- Interest in technology and experience with data management tools.
- Ability to work independently and collaboratively as part of a team.
- Flexibility and adaptability to undertake additional duties as assigned.
Compensation:
- Negotiable. Hourly rate: $17.50 - $22.50, based on experience and qualifications.
- Up to 25 hours per week.
