Our team is growing and we are looking for individuals who can work onsite at our location in Denton, Tx. This role will have the ability to work hybrid in the future. However, this will not be until Q1 of 2025 as we need to establish the team first.
Job Summary
The Medical Records Specialist is responsible for managing and maintaining patient health records in compliance with healthcare regulations and ensuring the accuracy, accessibility, and security of medical documentation. This role is crucial in supporting clinical staff and improving patient care through meticulous documentation practices. They provide support to other departments or staff members in accessing and retrieving needed files.
Essential Responsibilities/Duties
- Monitors and processes incoming record requests received through various means
- Collect, organize, and maintain records, including medical history, requisition, and result.
- Coordinate with Audit Director for records requests related to third-party payor audits
- Contact appropriate clients to complete requests.
- Performs quality checks on all work to assure accuracy.
- Maintain consistent schedule by processing all requests within 24-48 hours of receipt
- Assist with records send out when needed
- Provide feedback regarding request volume and perceived issues
- Assist with overflow billing processing due to high volume and/or coverage issues
- High volume and fast paced environment
- Abide by HIPAA guidelines while ensuring the confidentiality of PHI
Qualifications
- Education -
- High School Diploma or equivalent required
- Associates degree or certification in Health Information (HIM), Medical Technology, or a related field, preferred.
- Competencies/Skills -
- Strong understanding of medical terminology, anatomy, and healthcare procedures. Familiarity with EHR systems and healthcare regulations such as HIPAA.
- The ability to organize work and meet established deadlines.

- Strong computer skills, including proficiency in EHR software, Microsoft Office Suite, and data entry.
- Experienced with reporting and analytics (Excel pivot tables, formulas, charts), SQL and database experience preferred.

- Certifications/Licenses -
- Certification from a recognized professional organization, such as Registered Health Information Technician (RHIT) or Certified Medical Records Technician (CMRT), is a plus.
