Job Title: Executive Administrative Assistant

Job Summary:
The Administrative Assistant will provide essential support to both the executive team and the broader office. This role requires a dynamic individual who is organized, detail-oriented, and capable of multitasking in a fast-paced environment. The Administrative Assistant will manage daily operations, coordinate schedules, and assist with administrative tasks that ensure smooth business operations.
Key Responsibilities:
- Executive Support:
- Manage and maintain executive schedules, including arranging meetings, appointments, and travel arrangements
- Prepare reports, presentations, and correspondence for executive team members
- Serve as a liaison between executives and internal/external stakeholders
- Handle confidential information with discretion
- Office Administration:
- Coordinate office activities and operations to secure efficiency and compliance with company policies
- Assist in the preparation and organization of meetings, including setting up conference rooms, preparing materials, and taking minutes
- Monitor office supplies and place orders as needed
- Oversee incoming and outgoing mail, including courier services
- General Administrative Duties:
- Support various departments as needed with administrative tasks, including data entry, filing, and document management
- Assist in onboarding new employees by preparing workstations and ensuring necessary supplies are available
- Handle general inquiries via phone, email, or in person, and direct them to the appropriate team members
- Maintain a clean and organized office environment, including managing equipment and coordinating maintenance when needed
Qualifications:
- Education: Associate’s or Bachelor’s degree in Business Administration or related field preferred
- Experience: Minimum of 2-4 years of experience in an administrative role, preferably supporting executives and office operations
- Skills:
- Strong organizational and time management skills
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent verbal and written communication skills
- Ability to work independently and as part of a team
- High level of professionalism and attention to detail

Additional Information:
- Salary Range: $33,200 - $76,900
- Working Hours: 170 Hours/Month
- Working Model: Hybrid ( 3 days In-person, 2 days Remote)
