Description
We are in search of an Administrative Assistant to join our team in the manufacturing industry.. Your key responsibilities will involve handling various administrative tasks, including data entry, record keeping, and assisting in shipping and receiving operations.
Responsibilities
- Organize and manage documents related to customer orders and product transportation.
- Work with internal teams to maintain and update customer contact databases as and when required.
- Assist in the preparation and organization of product samples based on customer requirements and ensure their shipment to the correct recipients.
- Enter and coordinate customer return requests, ensuring a smooth process.
- Assist management staff with various tasks, including preparing reports and presentations.
- Maintain internal and external exportation documentation for customs clearance on a daily basis.
- Enter customer invoices into the appropriate systems.
- Work closely with the Quality department on all order-related documentation.
- Record required data into systems and generate reports as needed.
- Assist all aspects of the customer service department as needed.
Requirements
- Minimum of 3 years of experience in an administrative role within the manufacturing industry
- Proficient in Microsoft Word and Excel
- Experience in data entry and order entry
- Ability to handle inbound and outbound calls
- Previous experience in a call center or customer service role
- Excellent customer service skills, including email correspondence
- Ability to schedule appointments and manage calendars
- Must have excellent organizational and multitasking skills
- Strong written and verbal communication skills
- Ability to work independently and as part of a team
- High attention to detail and problem-solving skills
- Demonstrated ability to maintain confidentiality and handle sensitive information.
