Description
We are offering an Administrative Assistant in a role that involves managing customer service responsibilities, maintaining records, and coordinating with various internal departments.
Responsibilities
- Working closely with shipping and receiving departments to manage required outbound documents.
- Accurately recording data into systems and generating necessary reports.
- Preparing and sending product samples based on customer requirements.
- Organizing and managing documents needed for product sample shipments.
- Handling documentation related to customer orders and product transportation.
- Collaborating with the internal Quality department to handle order-related documentation.
- Regularly updating and maintaining customer contact databases.
- Coordinating customer return requests and ensuring smooth process.
- Assisting management staff with tasks such as report and presentation preparation.
- Entering customer invoices into Oracle and maintaining records.
- Handling internal and external exportation documentation for customs clearance.
- Providing support to all aspects of the customer service department as required.
Requirements
- Minimum of 3 years of experience in an administrative role within the manufacturing industry
- Proficiency in answering inbound calls and managing inbound outbound calls
- Proven experience in call center customer service and general customer service
- Strong data entry skills and experience with order entry
- Proficiency in Microsoft Excel and Microsoft Word
- Experience with email correspondence and managing professional communication
- Ability to schedule appointments and manage a complex calendar
- Excellent organizational skills and attention to detail
- Strong verbal and written communication skills
- Ability to work independently and as part of a team
- High school diploma or equivalent required; higher education or certifications a plus.
